A luxury skincare brand is on the hunt for a dedicated Office and HR Admin Assistant to be based in London for a hybrid role – 4 days in the office, 1 day working from home.
As an Office and HR Admin Assistant, you will be acting as the first point of contact for incoming communications to the business, while working closely with the wider office team to ensure the smooth running of the operation.
Your key responsibilities are:
Office Admin
Manage reception area and look after visitors
Run small errands as and when required to collect/drop off items
Arrange domestic and international couriers and send smaller items at the Post Office
Order water, coffee, snacks, weekly shop, replenish stationary/office supplies when required
Maintain company equipment and equipment logs
Assist with gifting for press events and corporate events
Coordinating couriers for press send outs including gift wrapping
Support press with completing order forms for large events
Support PR with maintenance of stock
Oversee and regularly review the work carried out by the contractors to ensure the required standards are achieved and maintained
Support with scheduling of supplier/contractor visits
Monitor and communicate any maintenance issues such as lighting and building small office furniture such as chairs and report this ongoing
Work to ensure the office is kept tidy and in good condition
Set up meeting spaces for company events and help the running of the meetings
Track office stock, and manage the records for employee allocation of stock
Send back stock to the warehouse as and when required
HR Admin
Maintain accurate and up to date employee records in HR Database
Generate monthly reports to Senior Hr Manager and Chief of people on sickness, birthdays, anniversaries
Support Chief of People with induction by coordinating the induction programme
Chasing references before employee starts highlight any issues to Senior HR Manager and Chief of People, providing general admin support to the HR team
Schedule meetings, prepare agenda, maintain HR documentation
Send out contracts and offer letters ensuring we have signed and returned documents
Help support Senior HR Manager and Chief of People by providing general admin support
Our ideal candidate is someone with experience in an office support role, a positive and proactive attitude, and a strong attention to detail. You should be able to handle multiple tasks in a fast-paced environment, communicate effectively with all levels of staff, and work independently while adapting to changing priorities. Excellent time management, organisation skills, and proficiency in Microsoft Office are also essential.
