Position Overview:
The Lead Administrative Assistant plays a pivotal role in supporting key operational functions across project management, procurement, and sales. This role serves as the central coordination point to ensure seamless communication, documentation, and workflow throughout the company. The ideal candidate is a proactive, detail-oriented professional who thrives in a fast-paced, collaborative environment.
Essential Functions:
Duties include, but are not limited to:
Project Management Support
Oversee the administrative coordination of multiple AV installation projects.
Monitor project timelines, track milestones, and maintain status reports.
Manage project documentation including RFIs, submittals, change orders, and close-out materials.
Serve as the administrative liaison between project managers, vendors, and internal teams.
Procurement & Vendor Coordination
Collaborate with the procurement team to facilitate sourcing and vendor selection.
Generate, track, and manage purchase orders to ensure timely delivery of equipment and materials.
Maintain procurement logs and resolve discrepancies with Accounts Payable and Receiving.
Escalate supply chain issues promptly and communicate delays or shortages to stakeholders.
Sales Operations Support
Assist the sales team in maintaining CRM records, generating sales reports, and coordinating client communications.
Support the preparation and submission of proposals, presentations, and contracts.
Track inbound leads and ensure timely follow-up with prospective clients.
Coordinate cross-functional meetings and assist with event planning and execution.
General Administrative Leadership
Lead administrative process improvements and serve as a mentor to junior administrative staff.
Manage calendars, schedule appointments, and support travel arrangements.
Organize internal documents, electronic filing systems, and ensure document compliance.
Assist in planning company-wide meetings, training sessions, and special initiatives.
Qualifications:
3+ years of experience in an administrative, project coordination, or operations support role.
Strong proficiency in Microsoft Office Suite and project management software.
Excellent organizational, communication, and interpersonal skills.
Ability to multitask and adapt quickly in a technology-driven environment.
Experience in the AV, construction, or systems integration industries is a plus.
Compensation:
Base Salary Range: $17.95 – $26.61 per hour, commensurate with experience and qualifications.
