Position Summary: We are seeking a highly organized, detail-oriented, and customer-focused Front Office Assistant to be the welcoming face and voice of our company. This vital role supports our daily operations by managing front desk activities, assisting customers, and providing essential administrative support to various departments. The ideal candidate will be a proactive self-starter with excellent communication skills and a strong ability to manage multiple tasks effectively.
Key Responsibilities:
Customer Service & Communication:
Professionally handle all incoming calls, directing them to the appropriate personnel or assisting callers with basic inquiries and order placement.
Provide exceptional customer service, addressing client needs with courtesy and efficiency.
Data Entry & Administrative Support:
Perform accurate and efficient data entry, ensuring the integrity of our records. Strong typing skills are essential.
Maintain organized physical and digital filing systems, including filing, scanning, and document management.
Assist with general office organization and maintain a tidy reception area.
Financial Administration (Light):
Support light accounts receivable tasks, which may include processing payments, reconciling invoices, or assisting with basic financial record-keeping.
Office Operations & Collaboration:
Provide comprehensive administrative support to various office staff and departments as needed, ensuring smooth daily operations.
Proactively identify and address office needs, demonstrating an ability to work independently and as part of a team.
Manage multiple priorities simultaneously with strong organizational skills.
Qualifications:
High School Diploma or equivalent; additional administrative training or relevant certifications a plus.
General Computer literacy, working with file systems, attachments, documents
Proficient In the Google Suite, Gmail, Google Docs, Drive, etc.
Proven experience in an office administrative or front desk role preferred.
Typing Proficiency: Basic typing skills. About 30-40wpm.
Technical Skills:
Basic to intermediate proficiency with Microsoft Office Suite, specifically Word and Excel.
Comfortable with learning new software and office equipment.
Soft Skills:
Excellent Communication Skills: Both verbal and written, with a professional and friendly demeanor.
Exceptional Organizational Skills: Ability to prioritize tasks, manage time effectively, and maintain a highly organized workspace.
Ability to Multitask and Work Independently: Proven capacity to manage multiple ongoing projects and responsibilities with minimal supervision.
Strong attention to detail and problem-solving abilities.
Reliable, punctual, and a strong work ethic.
