Key responsibilities

Calendar management – Ability to handle complex and detailed calendars, dealing with multiple urgent meeting conflicts, setting up meeting invites/calls with global teams across time zones internally and externally and handling all related logistical support.

Travel management – Plan and arrange international and domestic travel itineraries, including flights, accommodation, and ground transportation. Handle visa applications and documentation, ensuring compliance with travel policies and regulations.

Maintain travel expense records and process purchase orders and reimbursements in a timely manner across global teams.

Workshops and visit management – help in planning the agenda for workshops/visits, coordinates the logistics of Stay, food, stationary and any other ad hoc task as required.

Trainings management – Provides support in organizing and setting up trainings by sending out invites, tracking participants, taking notes and, handling all training related logistics such as rooms, stationary, internal coordination as required.

Well versed with internal tools and processes

Act as a liaison between business leaders and internal/external stakeholders. Collaborate with EAs across global teams and assist with overflow, assistant back up coverage and other ad hoc tasks that may arise.

Maintain reports of data efficiently and accurately

Ability to handle sensitive data with discretion and integrity while adhering to organization policies

What you will need to succeed :

Highly adept at managing complex schedules, balancing multiple and at times conflicting priorities and anticipating needs with precision and attention to detail.

Strong communication skills (written and verbal) and the ability to interact and network with professionals at various levels and across global teams.

Collaborating with teams across the globe to provide cover whenever necessary across time zones.

Comfortable working on multiple tasks concurrently, ability to work within crunched deadlines, adapt and respond quickly to changes., displays tact and good judgement.

Adopts a can-do attitude with a willingness to go the extra mile whenever required.
