About the Role
Ascend is seeking a highly organized self-starter to provide high-level administrative support to Ascend’s Chief People Officer (CPO). The ideal candidate must thrive in a fast-paced, energetic environment and relish building systems and structures that create a high-performing organization.
Key Responsibilities
Executive Support
Manage the CPO’s calendar with precision, including scheduling meetings, prioritizing appointments, and ensuring the executive’s time is optimized
Handle confidential correspondence, screen incoming communications, and respond to inquiries with professionalism and discretion
Prepare and organize materials for meetings, presentations, and travel arrangements
Anticipate the CPO’s needs and proactively resolve administrative matters
Office Management
Serve as the primary point of contact for the CPO’s office, handling inquiries and fostering positive relationships
Maintain organized filing systems for both digital and physical documents
Process expense reports and manage administrative budget items
Coordinate logistics for executive meetings, including room bookings, catering, and technology setups
Communication & Coordination
Draft correspondence, reports, and presentations on behalf of the CPO
Take detailed minutes during executive meetings and ensure proper follow-up
Liaise effectively between the CPO and other executives, board members, and key stakeholders
Facilitate clear communication between the CPO and team members
Project Coordination
Assist with special projects by gathering information, tracking progress, and meeting deadlines
Research and compile data for executive decision-making
Support the execution of company-wide events and recognition programs
Staff and reporting relationships
The Special Assistant will report directly to the CPO and collaborate closely with other members of the Executive Team.
Qualifications
3+ years of assistant experience, preferably supporting C-level executives
Bachelor’s degree preferred but not required with equivalent experience
Advanced proficiency in Microsoft Office Suite and Google Workspace
