JOB RESPONSIBILITIES
Duties include, but are not limited to:

Household & Personal Assistant:

Care for houseplants
Handle laundry (wash, dry, fold)
Open, scan, and shred mail
Process online returns
Run errands as needed
With time, begins to anticipate needs/ways to help

Administrative Assistant:

Manage and maintain the CEO’s email inbox
Handle email communications and facilitate referral introductions on behalf of the CEO
Schedule and manage the CEO’s calendar
Plan and coordinate travel and events, including booking and communication
Provide phone, text, and voicemail support as needed
Manage and record receipts and expenses
Perform general clerical tasks, including mailing, scanning, and digital organization
Support in preparation for weekly team meetings
Take and organize meeting notes, including transcribing recorded meetings
Provide sales and marketing support
Assist with project management
Update websites and forms using platforms like Canva
Research, set up, and optimize tools and processes (e.g., Keeper App, ClickUp, Slack)
Support during annual 1099 processing
Assist with payroll and benefits administration
Support employee engagement and HR initiatives
Perform other administrative tasks as assigned

Qualifications & Skills:

Highly tech-savvy with the ability and willingness to learn new tools quickly
Strong time management skills with the ability to prioritize effectively
Strong communication skills with the ability to represent the CEO in a professional manner in both written and verbal interactions
Excellent organizational skills and attention to detail
Proactive, resourceful, and solutions-oriented mindset; problem-solving skills are imperative
Trustworthy and responsible, particularly when handling confidential information
Accurate and precise attention to detail with the ability to deal with a lot of diversion, yet still get the tasks at hand completed in a timely manner is a must
A positive attitude and a “how can I help” approach

Education & Experience Requirements:

High school diploma or equivalent required; Associates degree in business preferred
1-3 years prior administrative or executive assistance required
Professional services industry experience a plus
Proficient in Microsoft Office Suite (especially Excel) and G-Suite
Experience with ClickUp, Harvest, Slack, and Dropbox a plus
Must have reliable phone and vehicle
English language proficiency

Job Type: Part-time

Pay: $18.00 – $25.00 per hour

Expected hours: 25 – 35 per week

Schedule:

Monday to Friday
No nights
No weekends
