Focused Solutions, LLC, is in search of an Office Assistant/Scheduling Coordinator for our Managed Behavioral Health Practice in Columbia, MD.

Focused Solutions, LLC is a growing Company with locations in Maryland, Kentucky, Tennessee, Virginia, North Carolina, and Washington, DC offering private mental health therapy.

We contract with multiple Behavioral Health Organizations (BHO) and Employee Assistance Programs (EAP) to provide contracted services and promote wellness for organizations, individuals, and families. The Office Assistant’s responsibilities include working at the front reception desk and providing companywide (for all locations) administrative support. The Office Assistant will work closely with the Office Managers and other Leadership to assist both clients and Contracted Providers. Focused Solutions LLC offers a comfortable and flexible work environment.

Responsibilities/Duties

· Responsible for greeting clients at reception, over the phone and via email requests

· Answer phones, check and respond to all voicemails.

· Must be able to work in office

· Respond to all email requests from both clients and providers

· Schedule all first-time appointments.

· Obtain necessary demographic/insurance information from clients.

· Verify insurance benefits and enter information into the company’s dedicated Electronic Medical Record (EMR) application.

· Update client information as necessary in the EMR

· Reports security concerns, notifying appropriate personnel and authorities as needed.

· Prepare supply orders for approval

· Order and stock all office/kitchen/cleaning supplies.

· Maintain a tidy office environment including waiting area(s), kitchen, therapy offices, administrative space, etc.

· Provides companywide administrative support to Focused Solutions’ Leadership Team as needed.

· Ensure that the main lobby of the facility is maintained, and appropriate marketing materials prominently displayed.

· Maintain a professional work environment to assist with calm climate for the practice

· Assist with updating the company website and ordering promotional materials.

· Assist with credentialing, paneling, and attestations/verifications.

· Assist with processing credit card payments.

· Assist with claim denial follow up.

· All other tasks as assigned

Required Skills

· Ability to work independently with minimal supervision.

· Strong interpersonal and written communication skills.

· Ability to communicate effectively with tact and courtesy.

· Thorough knowledge of Microsoft 365 Office software package.

· Thorough knowledge of Doc U Sign document sign.

· Ability to lift to 20 pounds.

· Ability to respond in a timely manner to email and/or phone requests

· Thorough knowledge of phone systems.

· Reliable team member with a strong work ethic

· Critical thinking skills

· Problem solving abilities

Required Experience

Minimum 1 year office support experience. Healthcare office experience is a plus.

Required Education

High school diploma or GED equivalent required. Associate degree preferred.
