Your Role as a Customer Service / Office Admin:
This multifaceted role involves managing front-office operations, providing exceptional customer service and processing orders and invoices to ensure seamless operations. The ideal candidate is organized, detail-oriented, and skilled in multitasking, with a strong commitment to delivering a positive experience for our customers and team members.
Key Responsibilities
Front Office Administrator
Serve as the first point of contact for visitors, clients, and callers, ensuring a professional and welcoming environment.
Manage incoming calls, emails, and inquiries, directing them to the appropriate departments or individuals.
Maintain office supplies, organization, and general administrative tasks to support a smooth workflow.
Assist Accounting and Human Resources with onsite tasks.
Customer Service
Provide outstanding customer support by addressing inquiries, resolving issues, and delivering product/service information.
Build and maintain strong relationships with customers to foster loyalty and satisfaction.
Proactively identify internal and external customer needs and recommend appropriate solutions or services.
Orders and Invoices
Accurately process customer orders and invoices in a timely manner.
Ensure all order details, including pricing, shipping, and payment terms, are correct.
Coordinate with logistics and manufacturing teams to track and confirm order fulfillment.
Work with other departments to ensure proper processing of receipts, bills, taxes, etc.
Handle discrepancies, returns, and credits, ensuring efficient resolution.
Create VIN tags and Title documents.
Requirements:
What We’re Looking For:
Education and Experience
High school diploma or equivalent (Bachelor’s degree in Business, Administration, or related field preferred).
Proven experience in customer service and administrative roles.
Skills and Competencies
Excellent verbal and written communication skills.
Strong organizational and time-management abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM or ERP systems.
Attention to detail with a commitment to accuracy and quality.
Ability to multitask in a fast-paced environment while maintaining composure under pressure.
