General Summary: Under the direction of the Dean of Student Affairs, the Administrative Assistant will provide administrative and secretarial support for Student Affairs, Financial Aid and Accreditation. Responsibilities include, but are not limited to, typing, filing, scheduling, coordination of meetings, obtaining supplies, coordinating direct mailings, and working on special projects. Will use discretion, judgment and initiative to perform or provide support in all areas associated with the Student Affairs, Financial Aid and Accreditation offices. Possess knowledge of college operations and regulations. Must be comfortable in multicultural and Native American settings.

Principal Duties and Responsibilities:

Assist Dean of Student Affairs and Financial Aid Coordinator with daily operations and tasks.
Establish, develop, maintain and update filing system for department. Retrieve information from files when needed. Establish, develop, maintain and update library of accreditation data.
Act as liaison with other departments.
Work independently and within a team on special and ongoing projects.
Type, proofread copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Assist with scheduling work for Summer Youth and/or Institutional Work Study.
Fill in for Tribal College Secretary with tasks such as: open, sort and screen mail, answer telephones, screen callers, relay messages and greet visitors.
Maintain calendar and scheduling appointments.
Prepare routine correspondence and reports.
Maintain confidentiality of college data.
Operate personal computer to access email, electronic calendar and other basic support software.
Assume additional duties and responsibilities as may be reasonably expected of a person in this position.

Job Specifications:

1. Minimum Requirements – Associate Degree in business related field or two years administrative support experience. Proficient in Microsoft Excel, Word, and PowerPoint.

2. Preferred Requirements – Tribal College experience.

3. Special Considerations – Ability to speak the Muscogee (Creek) language is preferable but not a requirement. Native American and Veteran preference.

Licensure (if appropriate): Valid Drivers License.
