TONYMOLY USA is seeking a part-time (20-25 hours a week) proactive and detail-oriented Office Assistant to provide administrative and operational support to the two company owners in our Brooklyn, NY office. The ideal candidate will be highly organized, able to multitask, and comfortable working in a fast-paced environment. This role involves handling a variety of office duties, including ordering office supplies, managing the cleaning department, coordinating with IT, keeping the office and product samples tidy, handling product shipping, and assisting with general administrative tasks.

Key Responsibilities:

Provide day-to-day administrative support to the company owners, including scheduling meetings, handling correspondence, and managing office communications

Order and maintain office supplies to ensure the office runs efficiently

Oversee the cleaning department, ensuring the office remains organized and well-maintained

Keep the office and product samples tidy and properly organized

Act as the primary point of contact for IT support, coordinating with internal and external IT teams to resolve technical issues

Assist in coordinating office maintenance and facility needs

Manage incoming and outgoing mail, packages, and deliveries

Handle shipping of products, ensuring timely and accurate deliveries

Maintain and update office records, documents, and filing systems

Perform occasional off-site errands and coordinate the preparation and delivery of care packages to vendors, clients, and employees as part of relationship-building and engagement efforts

Handle special projects and other administrative duties as assigned

Qualifications:

3-5 years of proven experience in an administrative or office support role

Strong organizational and time management skills with the ability to prioritize tasks effectively

Excellent communication skills, both written and verbal

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office management systems

Ability to work independently with minimal supervision

Attention to detail and problem-solving skills

Previous experience working with IT coordination is a plus

This is 5 days a week/part-time flexible schedule, in office
