Job Description
Real Estate Management is looking for an Administrative Assistant to join our team to assist with day to day office duties.
General Purpose
Provides administrative and clerical support to others and communication responsibilities, primarily supporting the department’s workload and ensuring smooth operations.
Main Job Duties and Responsibilities
Handling emails, phone calls, visitors and other forms of communication, filtering and prioritizing information and directing inquiries appropriately.
Organizing and maintaining records, files, and databases, ensuring easy access to important information.
Preparing and submitting reports as needed.
Ensuring the office is organized, stocked with necessary supplies (office, kitchen & cleaning), and functioning efficiently.
Ensuring the office building maintenance is updated.
Communicating effectively with internal and external teams.
Assisting with property insurance and providing administrative support and ensuring deadlines are met.
Supporting the teams by gathering information, conducting research, and preparing reports.
Organizing conferences, team’s birthdays, company luncheon and other events, and ensuring a smooth experience.
Assisting with special projects or initiatives as assigned by the team, providing administrative support and ensuring tasks are completed efficiently.
Managing the flow of information, ensuring it is accurate, timely, and accessible to the teams.
Assisting errands to the bank, post office and other places as needed.
Key Skills and Competencies
Excellent written and verbal communication skills, including active listening and the ability to effectively convey information.
Strong organizational skills, including time management, prioritizing tasks, and managing multiple projects simultaneously.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), as well as other software and systems used by the company.
Ability to identify and resolve issues, troubleshoot problems, and find solutions.
Maintaining confidentiality and discretion with sensitive information.
Demonstrating professionalism, courtesy, and diplomacy in all interactions.
Being able to adapt to changing priorities and responsibilities.
Basic understanding of project management principles and practices.
