We are looking for a responsible and organized Office Coordinator to ensure the smooth day-to-day operations of our office and provide effective administrative support to the team. This is a key role in creating a productive, welcoming, and efficient work environment. The role has a lot of upward mobility potential.

Responsibilities

  • Manage Inventory: Order and oversee office supplies, snacks, and materials.
  • Financial Tasks: Handle bank transfers and process basic accounting/billing documents.
  • Daily Operations: Coordinate day-to-day office activities, logistics, and processes.
  • Facility & Vendor Management: Maintain office equipment and serve as the main point of contact for external vendors and IT service providers.
  • Documentation: Organize incoming/outgoing correspondence and manage internal document workflow.
  • Team Support: Provide administrative assistance to the team and leadership as needed.
  • Internal Communication: Facilitate smooth and effective communication between different departments.
  • Event Planning: Coordinate and organize both in-office and off-site team events.

Job requirements

  • Experience: Minimum of 3 years of experience in office administration, facilities support, or a similar administrative role.
  • Office Operations: Strong understanding of general office and facility management needs.
  • Vendor Coordination: Proven experience working with vendors for various office, maintenance, and IT services.
  • Tech-Savvy: Proficiency in computer skills, including the MS Office Suite and professional email communication.
  • Detail-Oriented: Exceptional precision and attention to detail when dealing with people and internal processes.
  • Soft Skills: Excellent organizational, time-management, and multitasking abilities.
  • Professionalism: Strong interpersonal skills, professional demeanor, and communication etiquette.
  • Adaptability: Ability to thrive in a fast-paced environment and meet tight deadlines.
  • Languages: Proficiency in English.
  • License: Valid driver's license (B).
