Overview
We are seeking a detail-oriented and organized Operations Administrator to join our team. As an Operations Administrator, you will be integral to maintaining efficient office operations and providing excellent customer service. Reporting to the Operartions Specialist, your core responsibilities will include data entry of accounts receivable and payable, coordinating sales with sales staff, filing, assisting with the documentation management for the company fleet vehicles and managing phone communications with professionalism. Your proficiency in Microsoft Office, Google Docs and basic math will support daily administrative tasks, while your organizational skills will ensure a well-structured work environment. With the ability to handle multi-line phone systems and experience in clerical duties, you will contribute significantly to our team’s success.
Candidates must be energetic, enthusiastic, and have excellent customer service skills. In addition, candidates should be able to work well unsupervised, be highly organized with attention to detail and able to work within strict deadlines.
Duties
Manage front desk operations, including greeting visitors and handling inquiries.
Oversee calendar management to schedule appointments and meetings efficiently.
Perform data entry tasks accurately and maintain organized records.
Utilize QuickBooks for basic accounting tasks and financial record keeping.
Implement clerical duties such as filing, document preparation, and correspondence management.
Maintain phone systems to ensure effective communication within the office.
Responsible for records management tasks such as maintenance, fleet of vehicles and inventory
Provide support in various administrative tasks as required by management.
Qualifications
Previous experience as a receptionist or in a similar administrative role is preferred.
Strong organizational skills with the ability to prioritize tasks effectively.
Proficiency in calendar management and scheduling software.
Familiarity with QuickBooks or similar accounting software is advantageous.
Excellent phone etiquette and interpersonal skills for effective client interaction.
Ability to work independently as well as part of a team in a fast-paced environment.
High attention to detail and accuracy in all tasks performed.
