JOB SUMMARY: This position will provide administrative support to the Human Resources Office to ensure the seamless operation of the department’s functions. The role involves collaboration with HR staff, supporting key leadership, and managing various administrative tasks to maintain efficient HR processes.

Employment Status: Part-time (.44 FTE), Non-Exempt (Hourly), and Non-Benefits Eligible

Ideal Office Hours: 8am-12pm, Monday-Friday during the academic year. Flexibility to start/end time can be discussed. Summer hours will be reduced.

Pay Range: $18.00-$21.00 per hour

MAIN RESPONSIBILITIES:

Administrative & Customer Service Support

Provide day-to-day administrative assistance to HR staff and manage departmental budget processes.
Serve as a welcoming point of contact for employees, students, and visitors, delivering professional and helpful customer service.
Schedule and coordinate HR events and meetings (e.g., Open Enrollment sessions, New Employee Orientation, Spring Picnic), including room reservations, calendar invites, presentation prep, website updates, and event communications.
Arrange travel for HR staff, including flights, accommodations, and ground transportation.
Support remote operations by scanning documents, sending secure emails, and managing mailings.
Assist in scheduling and providing direction to HR office student employees.

Onboarding & Offboarding

Distribute benefits enrollment information to new employees, track submissions, and maintain digital records.
Assist with new hire check-ins to ensure smooth onboarding.
Facilitate employee off-boarding, including system updates, file maintenance, and exit interview coordination.
Support Form I-9 compliance, reverification, and quarterly reporting.

Benefits & Compensation Administration

Update employee addresses and assist with ongoing benefits billing (e.g., vision, retiree health plans).
Reconcile HR and Wellness program budgets, prepare internal department transfers (IDTs), and requests for payments (RFPs).
Maintain up-to-date employment data for the recognition platform and manage associated billing.
Maintain retirement lists, coordinate recognition events, and support HR-related open house activities.

Data Coordination and Reporting

Generate reports and track HR metrics using Informer and other reporting tools.
Monitor SMART goal and performance evaluation completion; send reminders to employees and supervisors.
Maintain HR document storage; organize and archive files in accordance with retention policies.
Ensure HR website content is accurate and updated.

Compliance and Employee Programs

Assist with assigning background checks for faculty, staff, and volunteers.
Provide administrative support for student employment and vocational programs.
Track Staff Handbook acknowledgments, update policies as needed, and respond to routine employee questions.

Prerequisites

Minimum Qualifications

High school diploma or equivalent.
Minimum of 2 years of human resources-related office experience.
Strong interpersonal and written communication skills.
Proficiency in Google Workspace and Microsoft Office (especially Excel).
Excellent organizational skills with the ability to manage multiple priorities.
Independent problem-solving skills and attention to detail in ensuring HR process compliance.
Familiarity with HR operations including I-9 processing, background checks, and employee data systems.
Flexibility to support a wide range of HR activities, including event planning, website updates, and remote work logistics.
