Administrative Assistant (Part-Time, 25–28 Hours/Week)
Location: Lido Peninsula, Newport Beach, CA
Schedule: Monday–Friday (Partial Days)

Threat Assessment Group (TAG) is a professional consulting firm located on picturesque Lido Peninsula in Newport Beach. We specialize in workplace violence prevention and threat management. Our collaborative and tight-knit team is currently seeking a motivated and detail-oriented Administrative Assistant to support day-to-day operations.

Position Summary

We’re looking for a self-starter who thrives in a fast-paced environment and is comfortable managing multiple responsibilities. This part-time position offers the potential to transition to full-time with benefits.

Key Responsibilities

Manage a complex, high-volume calendar for the CEO and VP of Business Development, including virtual meetings and appointments
Coordinate webinars, media appearances, and related follow-up tasks
Draft and manage confidential email correspondence
Create and format presentations (PowerPoint), documents (Word), and spreadsheets (Excel)
Review and coordinate responses to Requests for Proposals (RFPs)
Handle digital client intake via CRM software
Organize and maintain digital client files
Update expert CVs and rate sheets annually
Coordinate expert assignments based on client needs
Arrange travel for staff and consultants
Perform light bookkeeping tasks using the CRM (e.g., accounts receivable, expert billing, invoice generation)
Research new client leads using Dunn & Bradstreet
Prepare company newsletters and maintain/update the contact database
Issue training certifications and manage bulk mailings via MailChimp
Maintain the “Expert On-Call” schedule
Update company templates and forms
Draft Non-Disclosure Agreements (NDAs)
Provide general office support (phones, receiving deliveries, weekly trash bin duties)
Potential oversight of Google AdWords and Google Analytics campaigns

Qualifications

Minimum 2 years of administrative or office experience
Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel)
Experience with virtual platforms: Zoom, MS Teams, Webex
Excellent written communication skills with strong grammar and email etiquette
Typing speed of at least 60 WPM
Ability to handle sensitive and confidential information with discretion
Familiarity with CRM systems and basic bookkeeping preferred but not required
Familiarity with MailChimp preferred but not required
Experience with Google AdWords/Analytics preferred but not required

This is a part-time position (25–28 hours/week); no benefits are currently offered
Position may grow into a full-time role with a comprehensive benefits package
