PURPOSE:The Administrative Assistant serves as the welcoming face and central support for students, parents, and visitors, performing essential clerical, secretarial, and administrative functions vital to the school’s daily operations. This role also assists the principal as needed.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Provide a welcoming presence: Greet visitors, answer inquiries, and direct individuals to appropriate resources or staff members.
Administrative support: Handle general word processing, correspondence, filing, and manage school records.
Communication hub: Manage incoming calls, take messages, and facilitate communication within the school community.
Financial transactions: Handle SCRIP sales, monitor attendance records, and assist with financial deposits.
Student support: Maintain student records, assist with registration, and manage student medication logs and field trip forms.
Operational logistics: Order and manage school supplies, textbooks, and furniture as needed.
School communications: Assist in preparing newsletters, promotional materials, and manage SchoolSpeak functions.
Health and safety: Aid students who are sick or injured, communicating with parents as necessary.

Technology proficiency: Proficient in office software and able to manage databases like SchoolSpeak.
Organizational skills: Strong ability to prioritize tasks and maintain accurate records.
Interpersonal skills: Excellent communication and public relations abilities.

Confidentiality: Maintains strict confidentiality regarding student records and sensitive information.
REQUIRED EDUCATION AND EXPERIENCE:
High school diploma required; associate degree or equivalent preferred.
Two years of secretarial or office experience, preferably in a school or similar setting.
Strong technological skills with proficiency in office software and databases.
OTHER DUTIES:This job description may evolve to include additional responsibilities as needed by the principal and school administration.
WORK ENVIRONMENT:Professional school environment; regular use of standard office equipment.
