The Opportunity:

We’re looking for an experienced and organized Office Manager / Personal Assistant to join our close-knit team. This role is the heartbeat of our office you’ll keep things running smoothly while providing executive support to our Director. If you thrive in a varied role where no two days are the same, this could be perfect for you. 

Key Responsibilities: 

Office Management 50% : Keep the day-to-day office operations running smoothly, manage systems and processes, administration tasks & coordinate supplies. 

Executive Support 20% : Provide comprehensive EA support to the Director, managing calendar, appointments & personal affairs. 

Sales Support 20%: Facilitates sales administration by drafting Form 6 and Letter of Offer documents for Director approval. Responsible for tracking document completion and settlement deadlines. 

Financial 10%: Prepare commission invoices for payment, reconcile office expenses, weekly payroll & supplier payments for the office with support of the external accounting firm. This skill would be desirable but not essential.

Essential Skills & Experience:

You’ve got proven experience as an Office Manager or PA in a professional environment – ideally in real estate or property. 

You’re comfortable with basic contract preparation and high-level administration tasks 

You communicate clearly and confidently, both written and verbal 

You’re a self-starter with initiative, a problem-solving mindset, and strong attention to detail 

You can juggle multiple priorities, stay organized & working autonomously 

You handle confidential information with discretion and professionalism 

Desirable 

Experienced with accounting Xero, Microsoft Office & CRM system HubSpot
