Job Description:
We are seeking a highly organized and detail-oriented Office Manager to join our team at ACE. The ideal candidate will play a crucial role in ensuring the smooth and efficient operation of our office and administrative functions. As the Office Manager, you will be responsible for managing day-to-day administrative tasks, coordinating office activities, and providing support to various departments within the organization.

Key Responsibilities:

1. Administrative Management:

Oversee daily administrative operations including but not limited to managing correspondence, scheduling appointments, and organizing office activities.

Maintain office efficiency by implementing and improving office systems, procedures, and policies.

Handle incoming calls, emails, and other correspondence, and ensure timely and appropriate responses.

2. Financial Administration:

Assist with basic bookkeeping tasks such as invoicing, billing, and accounts payable/receivable.

Coordinate with the accounting department to ensure accurate financial records and reporting.

Monitor office expenses and manage office budget effectively.

3. Human Resources Support:

Assist in the recruitment process by scheduling interviews, conducting initial screenings, and maintaining employee records.

Coordinate employee onboarding and offboarding procedures.

Manage employee documentation, including contracts, benefits enrollment, and performance evaluations.

4. Supply Chain Coordination:

Maintain inventory of office supplies and equipment, and reorder as necessary.

Coordinate with vendors and suppliers to ensure timely delivery of materials and supplies.

Manage relationships with external partners and service providers.

5. Facilities Management:

Ensure the cleanliness, organization, and safety of the office environment.

Coordinate office maintenance, repairs, and renovations as needed.

Act as the point of contact for building management and external contractors.
