Job DescriptionOur client, A well-established nonprofit Law Firm in downtown San Francisco is looking to fulfill the need for a long-term temporary Office Services Specialist. This assignment is expected to last about two months, with the possibility of extension.

Employment Type: Full Time Temp | M – F | 8:30am – 5:30pm PT *On-Site*Pay Rate: $24.00 / HourResponsibilities:

Organize and maintain client files and record logs, such as labeling, categorizing, and indexing with detail accuracy. Client file transfer and uploading via internal Aderant Total Office database. Internal and digital filing of all clients related documents (letters, records, notes, pleadings, research, etc.) to proper file location.

Client file maintenance, ensuring accurate labeling, new file creation, transfers and migration as needed.

Document and records management, reorganization, and file migration. Assist and prepare records for vendor or off-site transfer.

Receive, sort, and deliver all incoming mail and package items. Including processing of outgoing mail in a timely and detailed manner.

Digital services such as copying, printing and scanning case files.

Management of office supplies and break room inventory. Including processing purchase orders with vendors and restocking as necessary.

Assist in the set up and breakdown of on-site office events and meetings.

Troubleshooting office equipment as needed.

Reception and front desk support ad-hoc. Including inbound and outbound phone calls, message handling via phone and email.

Calendaring and reserving of conference rooms to office calendar. Meeting setup, vendor coordination, Audio/Visual deployment and breakdown as needed.

Support of special projects and tasks regarding client file services, office services, records, or facilities.

Qualifications:

Candidates should possess 1-2 years prior administrative, clerical or office service experience (within a law firm is a plus). Must possess an associate degree. Proficiency in MS Office Applications: Outlook, Word, Excel, and Teams. Polished written and oral communication skills, with a service-oriented mindset and ability to work well in a team environment. Strong attention to detail and time management is required in this role. Technical skills to operate office equipment such as printers, scanners, and postage machines. Physical ability to lift, push and pull objects and boxes ranging 30-50lbs. in weight.
