Essential Job Duties:

Managing Salesforce data.
Maintain, create, and run multiple reports (Weekly, quarterly, yearly as well as other requested reports) as required by sales/estimating.
Receive and enter all bidding correspondence from sales email/fax/Molin info email.
Set up commercial and residential jobs.
Update internal/external contacts.
Process all change orders through salesforce.
Process all job cancellations as needed.
Close out projects such as lost bids, expired bids, jobs, etc.
Backup to Receptionist includes answering phones, greeting customers, daily tasks.

Knowledge, Skills & Abilities:

Excellent verbal and written communication skills
Proficient in Microsoft Office suite (Word, Excel, Access, and Outlook)
Experience in Salesforce, EliPlan, Adobe and/or Bluebeam desired but not required.
Ability to comprehend contracts.
Outstanding customer service skills
Team player, Dependable
Strong organizational abilities
Time management
Ability to prioritize in a fast-paced environment.
Initiative and problem-solving skills
Construction background desired but not required.
General knowledge of reading specification and general plans.

Availability:

Monday- Friday (regular business hours, 40/hours a week)

Admin Assistants have to be great multi-taskers, great communicators and great team players. They are responsible for supporting the sales team in a variety of ways including management of new or updated information for Molin projects, completing administrative duties, backing up for the receptionist as well as other miscellaneous tasks that may be necessary to support the sales processes.
