Job Description

PURPOSE OF POSITION:

The Clerical Assistant Lvl IV is responsible for providing administrative and clerical support to ensure the smooth operation of the radiology department. This role involves managing patient records, scheduling appointments, and assisting with the general administrative tasks of the practice.

SUMMARY OF DUTIES AND RESPONSIBILITIES:

– Administrative Support:
-Perform general clerical duties including photocopying, faxing, mailing, and filing.
-Maintain electronic and hard copy filing system for patient records and radiology reports.
-Assist in the preparation of regularly scheduled reports.
-Provide coverage for late night and weekend shifts
-On-site position

Patient Interaction and Communication:

-Greet and assist patients visiting the practice.
-Answer, screen, and transfer inbound phone calls while providing basic information when needed.
– Schedule and confirm patient appointments, procedures, and follow-ups.
-Adhere to uniform and dress code standards
– Adhere to time and attendance policies

Records Management:

-Ensure accurate entry of patient data and radiology results into the practice’s system.
-Manage and update patient records to ensure confidentiality and compliance with healthcare regulations.

Office Coordination:

– Order office supplies and maintain inventory control.
-Coordinate maintenance of office equipment and manage repair issues.
-Assist in the coordination of office activities and operations to secure efficiency and compliance with company policies.

Billing and Insurance Processing:

– Assist with billing processes and insurance verification as needed.
– Help patients with billing inquiries and provide necessary information to resolve issues.

Support to Radiologists and Staff:

-Provide administrative support to radiologists and other medical staff.
-Prepare and organize radiology files for appointments and procedures.
Minimum Qualifications

1. A high school diploma or its educational equivalent; and

2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities.

CERTIFICATION(S)/LICENSE(S)

EDUCATIONAL LEVEL:

High school diploma or equivalent; further education in Office Administration or a related field is a plus.

Proven experience as an administrative assistant or office admin assistant.

Knowledge of office management systems and procedures.

Working knowledge of office equipment, like printers and fax machines.

KNOWLEDGEABLE IN

Ability to read and write English and to understand and carry out simple instruction.
