This role plays a key part in supporting the transformation of the organization by overseeing and enhancing key corporate and operational services. The individual will be responsible for driving procurement, billing, operations and administrative functions, ensuring efficient internal processes and alignment with broader organizational goals.
Job Description:
Lead and optimize core operational functions, including Procurement, Billing, and Corporate Administration:
+ Procurement: Manage vendors and third-party engagements using digital tools such as Power Apps for processes like Small Value Purchases, RFQs, and RFPs.
+ Billing: Oversee finance-related workflows and claims processing, ensuring compliance and timely resolution of discrepancies.
+ Corporate Administration:
Oversee the management and upkeep of office facilities and non-IT equipment.
Coordinate hot-desking systems, shared workspace resources, lockers, and other office arrangements.
Manage onboarding and offboarding processes, inventory of supplies, and administrative workflows.
Establish and maintain clear policies, operating procedures, manuals, and guidelines across the above functions.
Assist in the preparation and support of corporate audits related to operations and administrative areas.
Work closely with leadership to identify opportunities for automation and digitalization of current workflows using tools like Power Apps and Power Automate.
Collaborate with IT stakeholders on organization-wide technology initiatives, especially those intersecting with administrative services.
Synthesize diverse inputs from stakeholders and present information clearly and effectively to various audiences.
Perform other duties as required by the organization.
Requirements
Bachelor’s or Master’s degree in a relevant discipline.
At least 10 years of experience in operations and administrative functions, including proven experience in a leadership role.
Demonstrated success in managing operational teams and delivering high-value service outcomes.
Proven experience in finance and billing processes, ensuring accuracy and efficiency in financial workflows.
Strong interpersonal and communication skills with the ability to build effective working relationships.
Analytical, detail-oriented problem-solver with the ability to operate independently.
Highly adaptable, results-driven, and capable of navigating ambiguity.
Strong commercial acumen and a track record of executing change in evolving environments.
Excellent multitasking abilities and experience managing concurrent workstreams under tight deadlines.
Technologically adept, with proficiency in Microsoft Office tools and a willingness to develop expertise in Power Apps and Power Automate.
