We are seeking adynamicand detail-oriented Operations Manager to join our FLOHR team to support our agency that has focus in digital marketing & content creator representation. The ideal candidate will be responsible for office operations, overseeing financial activities, executing local HR responsibilities, and providing crucial administrative support. This role is vital to ensuring the smooth and efficient operation of our agency.
Duties and Responsibilities
Office Operations
Facilities Management:
Oversee the maintenance and management of office space, including leasing, utilities, and office supplies.
IT and Equipment:
Ensure all technology and equipment are functional andup-to-date. Coordinate with IT support for troubleshooting.
Process Optimization:
Streamline office workflows and procedures to enhance efficiency and productivity.
Vendor Management:
Manage relationships with vendors and service providers, ensuring timely and cost-effective procurement of goods and services.
Finance
Budgeting and Financial Planning: support in managing the agency’s budget, forecasting financial needs, and ensuring goals are met.
Accounts Receivable:
Manage invoicing, track outstanding payments, and follow up with clients to ensure timely collection of payments.
Accounts Payable:
Process vendor invoices, manage expense claims, and ensure timely payment of bills.
Payroll Management:
Process payroll for all staff, ensuring accurate calculation of salaries, taxes, and deductions.
Sales Staff Incentive Calculation:
Calculate and process sales staff incentives and commissions based on performance metrics and sales data.
Human Resources
Recruitment and Onboarding:
Manage the hiring process, including job postings, interviewing, and onboarding new employees.
Employee Relations:
Foster a positivework environment, handle employee grievances, and mediate disputes.
Performance Management:
Implement performance evaluation processes and support managers in conducting reviews.
Training and Development:
Identify training needs and coordinate professional development opportunities for staff.
Administrative Support
Scheduling and Coordination:
Manage calendars, schedules, and appointments forsenior management.
Document Management:
Organize and maintain digital and physical files, ensuring easy retrieval and compliance with data protection policies.
Communication:
Serve as a point of contact for internal and external communications, including correspondence, phone calls, and emails.
General Administrative Support:
Provide support for daily administrative tasks, such as preparing reports, presentations, and other documents as needed.
Minimum Qualifications
Bachelor’s Degree in Business, Finance, Operations preferred
3+ years of experience in a similar role
Excellent verbal, written and interpersonalcommunicationin English
High energy and able to excel in afast-paced environmentwhile managing multiple projects simultaneously
Good time management and accountable to multiple parties at once
Forward thinking on plans and have ample contingencies
Problem solver withanalytical skills
Organized and enjoy creating and maintaining systems
Passion and Interest in the entertainment industry
