Job Summary:
The Intermediate Architectural Operations Manager position will play a vital role in providing operational and administrative support to the architecture practice, contributing to the smooth functioning of projects and assisting in process improvement initiatives.
This position requires a strong understanding of architectural operations and the ability to work collaboratively with various teams.
Key Responsibilities:
Assist in the day-to-day operations of the architectural practice, with a focus on healthcare architecture projects
Collaborate with project managers, architects, and support staff to ensure efficient project delivery
Coordinate project documentation, including contracts, proposals, and client communications
Assist in resource management, including tracking staff allocations and project schedules
Maintain project databases, ensuring accurate and up-to-date project information
Support financial management tasks, such as invoicing, expense tracking, and budget monitoring
Assist in preparing project reports and presentations for internal and external stakeholders
Participate in process improvement initiatives to enhance operational efficiency
Coordinate project meetings and manage meeting minutes and action items
Assist with project file organization, document control, and record-keeping
Provide support during project audits and ensure compliance with company standards
Collaborate with various teams to maintain communication and workflow between departments
Stay informed about industry trends and updates related to healthcare architecture and operations
Qualifications:
Diploma or Bachelor’s degree in Architecture, Business Administration, or a related field preferred, or equivalent combination of education and experience
3+ years of experience in architectural operations support, preferably with exposure to healthcare projects
Knowledge of architectural project management processes and terminology
Strong organizational and time management skills to handle multiple tasks and deadlines
Detail-oriented with a focus on accuracy in administrative tasks
Proficiency in project management software, Microsoft Office Suite, and other relevant tools
Excellent communication and interpersonal skills to collaborate effectively with project teams
Proactive and self-motivated, with a willingness to take on new challenges
Knowledge of Canadian healthcare regulations and building codes is advantageous
Ability to work collaboratively in a team-oriented environment
