JOB TITLE: SCHOOL SECRETARYREPORTS TO: PrincipalEVALUATED BY: PrincipalJOB PURPOSE: To assist the School Principal and/or Assistant Principal with paperwork, clerical tasks, scheduling, telephone tasks and visitor greeting in order that they may devote maximum attention to the central issues of insuring a high quality school program and effective communication with students, staff, parents and community members. To ensure a smooth office operation.ESSENTIAL DUTIES AND RESPONSIBILITIES: Maintains the utmost level of confidentiality and security and assures that other office employees maintain the utmost level of confidentiality and security regarding all school related information and especially information protected as confidential by State and Federal Law.Takes and transcribes dictation of various types.Maintains a regular and comprehensive filing system and assures that they are locked and secure at the end of each work day.Processes incoming correspondence as instructed by the Principal.Answers the office telephone(s), responds appropriately to requests for information, takes or directs messages for staff to the appropriate automated directory, pages authorized personnel over the school intercom system.Assists in building security by assuring that all visitors and school staff adhere to security procedures as established by the School Principal and School Committee.Greets all visitors courteously, determines their needs, checks appointments and directs or escorts them to the proper person.Maintains an accurate, up-to-date schedule and calendar of facility use for the Principal, staff, and community groups.Types letters, reports, budget materials and performs other clerical tasks as directed by the principal.Maintains, produces and supplies payroll information as required.Maintains accurate daily attendance record; Prepares quarterly and annual attendance register reports. Prepares daily reports on attendance for distribution to staff as directed by the principal.Maintains an accurate appointment schedule for the Principal.Prepares and distributes reports, bulletins and information packets to families and other members of the school community as directed by the principal.Prepares and distributes material for kindergarten registration, and new student registration.Maintains Department of Education data for SIMS reports and assures that these are accurate and up to date.Completes purchase orders, monitors the receipts of and maintains records of the receipt of ordered items and provides for the distribution of received items to the appropriate school personnel.Assumes responsibility for the school supply closet(s) by distributing supplies as requested. Maintains an inventory of available items, and advises the principal when a reorder of supplies is required.Maintain accurate personnel records for all school employees.Type evaluation reports at the direction of the principal.Maintain an accurate record of employee work schedules and personnel records.Make and/or monitor all announcements made via the school intercom system.Develop and maintain a staff emergency call list.Develop and maintain an emergency bus dismissal list and, to the degree possible, in cooperation with the school secretary at the counterpart school to avoid duplication of effort.Maintain and update for September of each school year all general materials distributed to staff and parents such as parent/student handbooks, staff handbooks and procedures, and other materials required for the school to function in compliance with district policy.Maintain an accurate record of budgetary expenditures, balances and reimbursements; Maintain an accurate record of petty cash disbursements.Assure that scheduled periodic maintenance of office computers, copy machines and other office equipment occurs.

Recommend to the principal equipment, equipment repairs and material required for the professional and effective operation of the school office.Greet and resolve issues of students who from time to time present themselves in the school office by answering their questions or directing them to the appropriate staff member.File reports of student injuries.Open and close the school office at times determined by the principal.Required to perform minor custodial tasks.In cooperation with the principal, prepare a job description for and delegate such responsibilities as deemed appropriate for other office personnel such as office assistant, clerical assistance, etc.Performs all other related tasks as may be required by the Principal.EDUCATION AND EXPERIENCE: High school diploma.Two years experience performing clerical and stenographic work.Demonstrated ability to delegate administrative detail, respond accurately to requests for information, and respond to other matters in a fast paced office environment.Demonstrate a sound knowledge of English usage and spelling and the ability to apply these skills in written and spoken communications.Demonstrate facility with basic mathematical operations.Demonstrated ability to operate a professional, organized and efficient office.Demonstrated ability to write clear and concise reports, letters, memoranda, etc. without close supervision.Demonstrated ability to meet the students, staff and public with a pleasant, composed and cordial demeanor.Related combinations of education and experience may be substituted for work experience.KNOWLEDGE, ABILITY AND SKILLS: Knowledge of school office operations, practices and procedures; Organizational skill; ability to accomplish work with frequent interruptions; Advanced clerical and filing skills; Discretion and confidentiality; Timeliness in completion of tasks; Visual supervision of students; A tactful, warm, friendly and competent public demeanor; Ability to work cooperatively with others; Knowledge of and ability to operate and provide minor maintenance of office equipment such as computers, fax machines, shredders, copiers, etc.; Speed and accuracy with keyboarding and word processing skills; Knowledge of and application of English usage and spelling; knowledge of and accuracy with mathematical functions; Knowledge of and accuracy with computer word processing, spreadsheet, and database applications.WORK ENVIRONMENT: Much of the work is performed seated at a desk. Does require movement about the school and office from time to time. Computers, telephone, copier and fax machine are used often.

Security camera monitors are located in the secretarys office and are monitored by the office personnel. Contact with a full range of students, staff and general public including but not limited to parents, children, town citizens, bus company employees, maintenance workers, State agency employees, etc. Intense and fast paced at times. Office contains highly confidential material, records and legal documents related to students, staff, parents, and school district matters.

Errors could result in confusion, delay, safety hazards, adverse public reaction, loss of State or Federal funding, monetary loss, and/or legal sanctions. PHYSICAL REQUIREMENTS: Visual acuity and standard range of hearing required to maintain standards of security and perform office duties. Light custodial tasks may be required using standard chemical cleaning agents. Lifting, moving, pushing, pulling objects or packages of twenty-five pounds or more may be required.

Extended periods of work seated at desk or computer.
