We are seeking a dedicated and detail-oriented Administrative Assistant to join our team full-time. The ideal candidate is an effective administrator who is highly organized, goal-driven, and resourceful.

In this role, you will provide essential administrative and office support to ensure seamless daily operations. Primary responsibilities include maintaining client documentation, assisting with agent and client inquiries, and addressing requests promptly and professionally. Key duties involve managing inbound phone calls, overseeing administrative team inboxes, handling data entry, processing payments, and coordinating outbound mail. Additional tasks may include event planning, creating spreadsheets and documents, filing electronic records, making copies as needed, and drafting letters and office memos.

General Responsibilities:

Provide customer service, including answering phones and greeting clients.
Assist agents and clients by providing information and addressing inquiries.
Process and review insurance documentation for completion.
Accept and process customer payments.
Manage office and employee supply inventory.
Serve as a backup for other roles as needed.
Develop a strong understanding of aviation insurance and P&C.
Maintain and organize confidential customer insurance files.
Utilize computer skills with proficiency in Google Workspace.
Schedule and coordinate meetings and appointments.
Manage and update the office calendar.
Perform other duties as assigned.

Required Skills/Qualifications:

High school diploma or GED required, Associate’s Degree in business administration or related field preferred
2+ years work experience in administrative support, customer service, or insurance industry is preferred
Strong computer skills, including the ability to use Excel and standard word-processing programs
Ability to work well with others as part of a professional high-performance team

Preferred Skills/Qualifications:

Motivated self-starter with strong analytical skills
Proven track record of strong organizational skills, problem-solving skills, and communication skills, both written and verbal
Proficient data entry skills
Positive Attitude, Self Motivated, Self Starter with a Sense of Urgency

Pay: $19.00 – $20.00 per hour
