Lead Administrative Secretary – 12 Months

POSITION OVERVIEW
The Lead Secretary serves as a liaison and support for school secretaries across the Appoquinimink School District. This position is responsible for onboarding, training, and providing ongoing professional development for school-based secretaries, primarily in the areas of attendance and registration. The Lead Secretary plays a key role in ensuring consistent, accurate, and efficient school-based administrative processes across the district, including support for registration, attendance, unit count, and school choice procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES
The following information is intended to describe the overrall nature and scope of the work being performed in relation to the position. This is not a comprehensive listing of all of the responsibilities or tasks; other work may be assigned and deemed appropriate:
Onboarding & Training:

Develop and implement onboarding programs for newly hired attendance and registration school secretaries.
Provide initial training on district policies, procedures, and relevant software systems.

Professional Development:

Plan and deliver ongoing training sessions and professional learning opportunities to ensure secretaries remain current with best practices and district expectations.
Collaborate with district departments to align training with operational needs.

Support & Communication:

Serve as a point of contact for school secretaries to answer procedural questions and resolve issues.
Provide regular communication updates related to policy, compliance, and systems changes.

Registration & Attendance:

Offer guidance and support to schools on registration and withdrawal procedures.
Support secretaries in maintaining accurate attendance records and responding to attendance-related inquiries.

Unit Count Process:

Assist schools in the preparation and completion of the unit count process.
Ensure data accuracy and compliance with state reporting requirements.

School Choice Process:

Support school staff in managing the school choice application and enrollment processes.
Provide assistance with required documentation and timelines.

MINIMUM QUALIFICATIONS:
Below are the qualifications for this position:

High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
Minimum of 3 years of secretarial or administrative experience in a school setting.
Experience with student information systems and other district-related platforms.
Strong communication, organizational, and interpersonal skills.
Ability to train others and provide clear guidance on complex procedures.
Detail-oriented with the ability to manage multiple tasks and deadlines.

While performing the duties of this job, the employee is regularly talking, expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly. The employee must possess normal cognitive abilities including the ability to learn, recall and apply certain practices and policies. Frequently sitting and/or remaining in a stationary position for long periods of time. Exerting up to 25 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

WORK ENVIRONMENT
Office environment with travel to school sites within the district.
Some extended hours may be required for training sessions or district events.

PRE-EMPLOYMENT REQUIREMENTS
All persons employed by the Appoquinimink School District are required to submit a criminal background check and a tuberculosis test.
Anyone offered employment is required to provide the following: proper identification (Social Security Card and Driver’s License), documentation of eligibility for employment in the U.S.A., completion of I-9 form, and completion of paperwork for the Delaware Child Protection Registry.
