Job Summary
CTN is seeking a warm, organized, and dependable receptionist to serve as the first point of contact for our clinic. This is a part-time position, ideal for someone who enjoys creating a welcoming environment for families, thrives on staying organized amid a busy schedule, and takes pride in keeping a shared space running smoothly. Your approach will help streamline clinic operations, support patient care, and uphold our commitment to excellent service.
Duties
Scheduling & Coordination
- Manage and coordinate daily schedules for a team of 10 therapists, including appointment bookings, rescheduling, and cancellations
Client Check-In & Front Desk
- Greet children and families warmly as they arrive, helping them feel comfortable and welcome
- Check clients in and out efficiently, ensuring accurate records and any required paperwork is collected
- Answer phone calls, emails, and in-person inquiries, directing them appropriately
- Serve as a calm, friendly presence for families, many of whom may be navigating stressful circumstances
Clinic Flow & Environment
- Support smooth day-to-day flow of the clinic, helping therapists and families transition between sessions with minimal disruption
- Maintain a clean, tidy, and organized waiting area, front desk, and shared clinic spaces
- Restock supplies and materials as needed to keep the clinic running smoothly
Additional Projects
- Take on additional administrative or organizational projects as assigned by the Business Director
- Support special initiatives, events, or process improvements as needed
- Communicate schedule changes clearly and promptly to therapists and families
- Monitor for scheduling conflicts and help resolve them proactively
Qualifications
- Excellent interpersonal and communication skills, with warmth and patience when working with children and families
- Strong organizational skills and attention to detail; able to juggle multiple schedules and priorities
- Comfortable with basic office technology (email, phone systems, scheduling platforms)
- Reliable, punctual, and able to maintain confidentiality of sensitive family and health information

- Prior experience working in a medical or dental office environment is highly preferred
- Proficiency with EMR/EHR systems
- Bilingual abilities are a plus to effectively communicate with diverse patient populations
- Exceptional customer service skills with a friendly demeanor and professional phone etiquette
- Strong organizational skills with attention to detail in documentation review and data entry
- Experience in pediatric or clinical settings is advantageous but not required; enthusiasm for working with children is essential
