Position Summary:
We seek a highly organized, proactive, and discreet individual to serve as Office Manager, Personal Assistant to the CEO, and Human Resources Coordinator. This multifaceted role requires exceptional multitasking abilities, strong interpersonal skills, and a high degree of professionalism. The successful candidate will ensure smooth daily operations of the office, support the CEO with administrative and personal tasks, and oversee core HR functions for the organization.
Key Responsibilities:
Office Management
Oversee the day-to-day operations of the office to ensure a well-functioning, efficient, and pleasant working environment.
Manage office supplies, equipment, and vendor relationships.
Coordinate maintenance, office improvements, and general administrative support across departments.
Organize company meetings, events, and internal communications.
Executive Support
Manage the CEO’s calendar, schedule meetings, appointments, and travel arrangements.
Draft emails, reports, presentations, and other communications on behalf of the CEO.
Screen and prioritize incoming communication and correspondence for the CEO.
Handle personal tasks and errands as needed with discretion and professionalism.
Prepare briefing materials and take minutes during key meetings.
Human Resources
Serve as the first point of contact for HR-related queries.
Assist in recruitment efforts including posting jobs, scheduling interviews, and onboarding new hires.
Maintain employee records and ensure compliance with company policies and employment laws.
Coordinate performance review processes and employee engagement initiatives.
Support benefits administration, payroll coordination, and employee offboarding
Business Support & Flexibility
Assist senior management with ad-hoc reporting, analysis, or operational tasks across different business verticals.
Maintain a self-disciplined and flexible approach, including availability during extended hours or weekends as business needs require.
Qualifications:
Bachelor’s degree in Business Administration, Human Resources, or related field preferred.
Minimum 3-5 years of experience in a similar combined role.
Strong knowledge of HR best practices and relevant employment legislation.
Exceptional written and verbal communication skills.
High level of discretion, integrity, and confidentiality.
Strong time-management and multitasking abilities.
Proficiency in Microsoft Office Suite, calendar management tools, and HRIS systems.
