Job Overview:

We are looking ​​highly organized and detail-oriented individual with a positive attitude and a knack for getting things done. You thrive in a fast-paced environment, learn quickly, and maintain the utmost confidentiality. As a key member of our team, you’ll be the Executives’ trusted confidant, ensuring efficiency and maximizing their time. The role is based in San Diego.

What You’ll Do:

·Communication Concierge:Manage all email and phone calls, filtering out non-essential communication and prioritizing the important. Craft concise responses, create tasks and calendar invites, and follow up on outstanding items.

·Calendar Management Maestro:Become a scheduling pro, ensuring the executives never miss a call or meeting. Prepare them for success by gathering information on attendees and providing meeting summaries with action items.

·Travel Time-Saver:Arrange cost-effective and convenient flights and hotels for travel. Coordinate airport pick-up and ensure a smooth arrival.

·Hiring Hero:Support the recruitment process by helping create scorecards, posting job listings, screening resumes, interviewing candidates, and setting up interviews.

·Document Doctor:Organize and secure essential business documents, contracts, and client information. Handle document signing on the Executives behalf.

·Personal Assistant Powerhouse:Run personal errands such as grocery shopping, managing mail, or childcare arrangements (as needed) to free up the Executives personal time.

·Confidentiality Champion:Maintain strict confidentiality regarding all company, executives, employee, and client information.

·Office Oasis Architect:Cultivate a clean, organized, and well-stocked work environment, keeping the office clutter-free and replenishing snacks and beverages.

Qualifications:

· High School Diploma OR GED

· Strong organizational skills with a keen eye for detail.

· Excellent communication and interpersonal skills, with the ability to build rapport with diverse personalities.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to prioritize effectively and manage multiple tasks simultaneously in a fast-paced environment.

·Driver’s License

·Must have a reliable car/ transportation.

Job Type: Full-time

Pay: $48,755.78 – $50,000.00 per year
