Urgently hiring PA to the GM. at i-Finance we offer personal loans to its customers working in the public and private sector to cover their short -term borrowing needs. Team members contribute to enabling individuals and small enterprises to achieve their financial goals.
Overview;
This is a full-time, on-site role based in the National Capital District, Papua New Guinea. The Personal Assistant to the General Manager will provide comprehensive administrative and organizational support to the General Manager, including managing calendars, scheduling meetings, and coordinating travel and appointments. The role involves preparing correspondence, reports, and presentations, maintaining accurate records and filing systems, and handling incoming calls and emails with professionalism and discretion. The Personal Assistant will support office operations, liaise with internal teams and external stakeholders on behalf of the General Manager, and ensure that daily activities and priorities are efficiently managed. The position requires a high level of reliability, confidentiality, and the ability to work in a fast-paced environment.
Key responsibilities,
- 1. Executive Support
• Manage the GM’s calendar, appointments, travel arrangements, and daily schedule
• Draft letters, memos, and high-level communication on behalf of the GM
• Screen and prioritize emails, correspondence and phone calls
• Prepare briefs, reports, presentations, and documentation for the GM
• Support execution of strategic initiatives led by the GM
2. Board Coordination
• Assist with timely preparation of Board papers, reports and presentations
• Coordinate Board meeting logistics, including scheduling, venue set up, and distribution of meeting
Maintain Board documentation, registers, and confidential files
• Track and follow up on Board resolutions and action items
• Take minutes during Board and management/staff meetings as required.
• Ensure compliance with corporate governance and regulatory requirements relating to Board operations.
3. Office and Administrative Support
• Oversee the smooth functioning of the office
• Liaise with internal departments, external partners and other stakeholders
• Organise meetings, workshops, and company events as required.
• Manage confidential records, contracts, and sensitive documents.
4. Financial and Reporting Support
• Assist in compiling financial documents, forecasts, performance reports, and regulatory submissions
• Process invoices, claims and expense reports for the GM.
5. Relationship Management
• Act as the point of contact between the GM and staff, customers, partners, regulators, and Board members
• Maintain professional relationship with key stakeholders
• Ensure timely communication flow between GM and relevant parties
6. Special Projects
• Coordinate or assist with project management tasks as directed by the GM
• Conduct research and briefing notes
• Support organisational development and change management initiatives
Qualifications & Experience
• Diploma or Degree in Business Administration, Management, Finance, or related field (preferred).
• Minimum 3–5 years’ experience in an executive assistant or senior administrative role, ideally in a finance, banking or corporate environment.
• Experience in preparing Board papers or supporting senior governance structures is an advantage.
