The Processing Assistant for Child Protective Services (CPS) provides administrative and technical support to social work staff responsible for child welfare services. This position assists with the intake, documentation, and processing of CPS reports, case records, and related materials, ensuring compliance with state policies and timelines while maintaining strict confidentiality.
Responsibilities
- Receive and process Child Protective Services reports, referrals, and related documentation.
- Enter and maintain accurate case information in state and county information systems (e.g., NC FAST).
- Scan, index, and upload case documentation into electronic records in a timely manner.
- Assist with CPS intake functions, including gathering preliminary information and routing reports to appropriate staff.
- Prepare and organize case files for social workers, court proceedings, and internal reviews.
- Generate routine forms, letters, and reports related to CPS cases.
- Maintain and track documentation to ensure compliance with mandated timelines and regulatory requirements.
- Answer incoming calls, route sensitive inquiries appropriately, and provide general information within scope of role.
- Greet clients and visitors, ensuring a professional and respectful environment.
- Assist with scheduling appointments, meetings, and court dates for CPS staff.
- Maintain strict confidentiality of all client and case information in accordance with federal, state, and local laws.
- Support records management, including file maintenance, archiving, and retrieval of confidential documents.
- Assist during audits, case reviews, and monitoring activities.
- Perform other related administrative duties as assigned.
Knowledge, Skills, And Abilities
- Working knowledge of general office procedures and records management practices.
- Ability to learn and apply policies related to Child Protective Services and child welfare laws.
- Strong attention to detail and accuracy in data entry and documentation.
- Ability to handle highly sensitive and confidential information with discretion.
- Strong organizational and time management skills, with the ability to prioritize tasks in a fast‑paced environment.
- Ability to communicate effectively with staff, clients, and community partners.
- Ability to manage stressful or emotionally sensitive situations in a professional manner.
- Proficiency in standard office software and data systems.
Minimum Education and Experience
- One (1) year of clerical or administrative experience; preferably in a human services, legal, or social services setting.
- An equivalent combination of education and experience.
Preferred Qualifications
- Experience working in Child Welfare or a Department of Social Services.
- Familiarity with NC FAST and CPS documentation requirements.
- Experience with confidential records management.
Physical Requirements
- Ability to perform sedentary work, including sitting for extended periods.
- Ability to lift and carry files and materials weighing up to 20 pounds.
- Ability to operate standard office equipment.
Special Requirements
- Must maintain strict confidentiality due to the sensitive nature of CPS cases.
- May be exposed to emotionally difficult or high‑stress situations.
- May require occasional overtime to meet mandated timelines or during high‑volume periods.
