Summary of Duties:

Track budget resources, process claims/invoices/payments of vendors and maintain appropriate records and knowledge of policies.

Prepare contract forms for approval and track contracts with external service providers for completeness on behalf of the team.

Provide event planning support (development, execution, follow-up) for curated initiatives and VIP visitor programs, ranging from large (100 person) to small.

Input data into CRM system(s) and generate reports on a biweekly basis.

Undertake research to prepare responses to enquiries from the public on a broad range of trade, innovation and investment-related subjects.

Lead on and update the team’s information management system(s) (e.g Salesforce, Sharepoint, etc.).

Provide outstanding administrative and organizational support to the team.

Research content to contribute to the Consulate’s LinkedIn accounts.

Work collaboratively with other administrative support staff in the program to ensure coverage.

ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.

Language will be assessed further during the process.

Education:

Candidates will be required to provide proof of the completion of their education.

A degree from a recognized, accredited university or college in the fields of business, communications, international studies

OR

a combination of education, training and experience (at least two years) in an administrative support role in a professional office environment

Language:

An advanced proficiency in English (oral and written)

Experience:

Experience organizing events designed to promote networking;

Experience with electronic filing systems, CRM, or information databases

Experience in responding to client enquiries, conducting research, drafting reports;

RATED REQUIREMENTS

The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.
