Job Title: Program Service Assistant

Department: Early Learning / Youth Development

Reports To: Director of Early Learning

FLSA Status: Exempt

General Statement of Duties:

Provides administrative support to Director of Early Learning, including office management, recordkeeping, scheduling, and other related duties. Track student data and assist with system usage in order to strengthen and preserve families.

Major Duties and Responsibilities:

Coordinate/manage meeting room schedules/calendars using MS Outlook; schedule, arrange and coordinate meetings, appointments, travel and events for the Director of Early Learning.

Record, compile, transcribe and distribute minutes of meetings

Prepare and modify documents including correspondence, reports, drafts, memos and emails

File and retrieve documents from filing system

Answer telephone calls from both internal & external sources

Provide support in a variety of capacities including reports, record keeping, presentation generation, database management, data collection, program monitoring assistance, etc.

Work with other Leadership to accomplish organizational goals.

Handle special projects as assigned by Director of Early Learning.

Ensure accurate data entry into data systems and excel spreadsheets for all EL and YD programs, including but not limited to Ultipro, ChildPlus. Efforts to Outcome, and other systems as needed or requested.

Maintain key indicator reports and dashboards for the EL and YD programs.

Maintain files, reports, records, manuals, etc. as assigned.

Provide support to the front desk by answering the telephone and door as needed.

Ensure that all copy and fax machines are supplied with paper and toner, and that all ELP staff have the requisite office supplies

Assist with ordering supplies and equipment and preparing procurement information as necessary.

Monitor parent committee meetings, advise the Policy Committee on program operations, and provide technical assistance as needed.

Develop and maintain binders for Program Governance, Policy Committee and Parent Committees.

Assure compliance with meeting all Head Start Standards as relates to Governance.

Prepare reports on goals, accomplishments and activities and maintain a variety of program records.

Recruit parents to participate in advisory committee meetings and training functions.

Work in cooperation with other component specialist to ensure maximum program effectiveness and in compliance with all applicable guidelines.

Establish and maintain a positive two-way communication system with families, and between governance levels of responsibilities as outlined in the Performance Standards.

Supervision Received:

Perform duties under the supervision of the Director of Early Education
