Description:
Reporting to the Executive in Charge of Physical Operations, the Operations Administrative Assistant role provides key project support to the Operations team related to logistics, planning, and execution, including setup and strike of meetings and events at the Directors Guild of American Headquarters. You will assist with both internal and external client events—serving as a liaison to the internal operating teams (i.e., Theater Management, Engineering, Security, Parking, Janitorial and Projection). The position requires a positive customer service attitude, as well as the ability to problem-solve and communicate with internal teams, clients, and vendors. The Operations Administrative Assistant will be responsible for providing administrative support to the department in the daily operation of the department including, but not limited to standard administrative tasks including handling heavy phones, heavy scheduling, correspondence, project/event support and overall clerical support

Responsibilities:
Provide the highest level of customer service to all members, colleagues, and guests.
Partner with various cross functional teams outside of the Operations Department such as Awards, Communications, Accounting, Special Projects, etc.
Procure, process, and track all internal payments and client event invoices.
Assist in the programming of the monthly internal screening programs for the DGA Headquarters, DGA New York office, and field locations.
Ability to think strategically, multi-task and work on several projects simultaneously in a fast-paced environment
Ability to proactively address and anticipate department and organization’s needs
Manage the film print trafficking for both the Los Angeles and New York office.
Assist in the scheduling of events, projects, and project workers.
A desire to contribute with a hands-on approach.
Ability to lift/move boxes up to 25 pounds occasionally
Must be able to work overtime and weekends occasionally
Other duties as assigned

Requirements:
Minimum 2-3 years of office and/or administrative experience.
Excellent verbal and written communication skills.
Ability to be discrete and maintain confidential information.
Proficient in Microsoft Office Suite (e.g., calendars, spreadsheets).
Preferred experience with ERP and/or POS system(s).
Ability to prioritize tasks within a deadline-drive environment.
Ability to collaborate inter-departmentally.
Ability to work a flexible schedule based on job needs; early morning, late evenings, and weekends (as scheduled).

What You’ll Get
The salary range for this position is $45,000 annually.
