Our client is seeking a Project Administrative Assistant to provide administrative and clerical support to a team of three Legal Assistants and one Contracts Attorney. Responsibilities include assisting with document preparation, revisions, and organization for contract reviews and board meetings.

Key Responsibilities:

Manage the “Contracts Review” email inbox, ensuring clear organization of assignment deadlines and billing details.

Retrieve necessary documents from various internal departments, including offices in Austin and Houston.

Track and follow up on contract updates with internal teams and external partners.

Prepare materials for board meetings, including printing, copying, distributing documents, and obtaining signatures.

Edit and format legal documents, applying track changes and standardizing styles.

Research client files, compile relevant data, and provide summaries as needed.

Maintain up-to-date client reference materials such as directories, organizational charts, calendars, and other resources.

Proactively monitor and complete assigned tasks with minimal supervision.

Manage multiple short-term and long-term projects efficiently.

Draft routine legal correspondence and standardized documents.

File and maintain client documents in an organized manner.

Coordinate meetings and conference calls with clients, consultants, and internal staff.

Develop a working knowledge of the Contracts Attorney’s client-specific needs.

Perform additional duties as assigned.

Qualifications & Skills:

Proficiency in Microsoft Outlook (calendar management), Word, and Excel.

Strong writing, proofreading, and document editing skills.

Excellent grammar, spelling, and attention to detail.

Prior experience in deadline-driven roles.

Familiarity with Workshare (preferred but not required).

Ability to handle multiple tasks, prioritize work, and manage time effectively.

Strong organizational and problem-solving abilities.

Requirements:

Associate degree required.

Minimum of 3-4 years of experience in a professional office setting.

Proficiency in Microsoft Office Suite.

Excellent verbal and written communication skills.

Ability to quickly adapt, multitask, and work under tight deadlines.

Self-sufficient and capable of resolving issues independently.
