POSITION SUMMARY

The Project Administrator supports construction Project Management staff with administrative duties and promotes a team environment on large project sites. This role is responsible for helping with many of the duties surrounding the construction project. This is a wide-ranging array of tasks, from staying in touch with contractors, badging and orientation of new employees, scheduling appointments, procuring supplies, visiting worksites, helping to prepare reports just to name a few.

This is a critical role that is instrumental in a successful project.

What you’ll do:

On-board new employees, manage New Contractor Orientation badging process for all employees.

Organize, distribute, collect and maintain timecards for all site personnel and maintain manpower lists.

Assembles binders for key parties (submittal, proposals, O&M).

Assists Project Managers in tracking and creates field daily reports.

Updates, takes and tracks meeting minutes.

Updates project logs.

Creates and files electronic and hard copy files for each construction project.

Sets up key party contact directories.

Reviews and distributes documents/correspondence to field personnel and other key parties.

Copies and distributes specifications and drawings to field personnel and other key parties. Archives files and drawings.

Manages calendars and schedules. Arranges for meetings, conferences, and programs on and off-site.

Spearheads local social activities.

Performs other duties as assigned.

What you’ll need to be successful:

You have experience providing great admin support to a team.

You have strong oral and written communication skills.

You enjoy and have the ability to work under pressure with numerous interruptions.

You have excellent customer service skills.

You have knowledge of Spreadsheet software and Word Processing software.

You have the ability to write routine reports and correspondence.

You can add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals and you have the ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

You can apply common sense to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Associate degree (AA) or one to two years related experience and/or training; or equivalent combination of education and experience.
