SUMMARY/OBJECTIVE

Thomarios Construction is seeking a highly organized Project Administrator to join our project team and provide full-time on-site administrative support on medium to large commercial construction projects throughout Northeast Ohio.

This is a dedicated, project-based position assigned to an active construction site. The successful candidate will work full-time from the project office, serving as an integral member of the project team throughout the duration of the project.

This position serves as the administrative hub of the project, supporting the Project Manager, Superintendent, subcontractors, owners, and design team by maintaining project documentation, coordinating communications, and ensuring the project operates efficiently from mobilization through closeout.

POSITION RESPONSIBILITIES

  • Provide daily administrative support to the Project Manager and Superintendent.
  • Maintain project documentation, logs, and records throughout the life of the project.
  • Support management of RFIs, submittals, change orders, meeting minutes, and other project correspondence.
  • Coordinate project meetings, prepare agendas, and distribute meeting minutes and action items.
  • Track contract documents, drawings, specifications, bulletins, and revisions.
  • Maintain electronic and hard-copy project files in accordance with company standards.
  • Assist with subcontractor onboarding, badging, insurance compliance, and project documentation.
  • Coordinate deliveries, visitor access, and general site administrative activities.
  • Support project cost tracking, purchase orders, invoices, and other administrative processes.
  • Assist with owner reporting, project closeout documentation, operation and maintenance manuals, warranties, and turnover packages.
  • Serve as a professional point of contact for clients, consultants, subcontractors, and vendors.
  • Utilize Procore, Microsoft Office, and other project management software to maintain accurate project records.

QUALIFICATIONS

  • Associate's degree or equivalent experience preferred.
  • 3+ years of administrative experience in commercial construction, engineering, architecture, or a related industry preferred.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • High attention to detail and ability to manage multiple priorities.
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and Teams.
  • Experience with Procore or similar construction management software is strongly preferred.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to work full-time on-site at an active construction project.

ADDITIONAL REQUIREMENTS:

  • Must be able to work in Northeast Ohio and travel to project sites as required.
  • Must possess a valid driver's license and reliable transportation.
