Purpose:
The Project Coordinator with Document Control responsibilities supports theProject Managementteam and technical engineering disciplines by providing comprehensive administrative, organizational, and document control support. This role is essential for maintaining the integrity, accessibility, and security of project documentation, facilitating effectivecommunication, and ensuring adherence to project standards.

Account abilities:

Organize and maintain project documentation withindocument managementsystems.

Implement document control procedures and ensure compliance with project and company standards.

Support project planning, execution, and closure activities through efficient documentation and administrative services.

Facilitatecommunicationand coordination within the project team and with external stakeholders.

Key Responsibilities:

Data Management:
Create projects and update data in our Deltek information management system and issuing change notifications to clients through Docu Sign as directed by project managers.

Assembly of Project Packages:
Working with project managers and engineers to assemble project documents to issue to clients. Maintain deliverables calendar for packages being issued.

Assist with Project Reporting:
Communicationwith project managers to update project reports prior to team meetings and attending team meetings as needed.

Administrative Support:
Assisting project managers and office administrator as needed.

Documentation and Records Management:
Oversee the creation, storage, and retrieval of project documents, including technical drawings, reports, contracts, and correspondence, ensuring they are current and accurately archived.

Document Control Procedures:
Develop, implement, and maintain document control procedures. Manage document lifecycle from initial creation through revisions and distribution to final archiving.

Experience and Expertise:

Associate’s degree or higher in Business Administration,Project Management, or related field, with a strong emphasis ondocument managementor information technology. Relevant experience in document control and project support may substitute for formaleducation.

2-4 years of experience in an administrative, project support, or document control role within an engineering, construction, or technical environment.

Proficiency indocument managementsystems (e.g., Aconex, SharePoint) and Microsoft Office Suite.

Strong organizational, analytical, andmultitaskingskills. Detail-oriented with a commitment to accuracy and confidentiality.

Excellentcommunicationand interpersonal skills, capable of working effectively with project teams, management, and external stakeholders.

Key Relationships:

Lead Project Coordinator:
Direct report for guidance, direction, and alignment of document control activities with project goals.

Project ManagementTeam:
Provide critical support through document control and administrative services, ensuring efficient project execution.

Technical Engineering Disciplines:
Collaborate to manage and control technical documentation, supporting project requirements and compliance.

External Stakeholders:
Coordinate document submissions, exchanges, and communications with clients, suppliers, and regulatory bodies.
