Job Overview
This is a 1099 position. CYAP is seeking a highly organized and dependable individual to support our programs and events. The ideal candidate will be responsible for managing and maintaining accurate records, ensuring efficient office operations, and providing administrative support. Ideal candidates are detail-oriented, proactive, and thrive in a mission-driven environment. This role requires strong time management skills, computer literacy, and the ability to work collaboratively in a fast-paced environment. Bilingual candidates are encouraged to apply. This position will be in-person with the opportunity to become hybrid.
Duties
Attend committee meetings and keep agendas/minutes
Assigning cases and manage family outreach
Keep an active inventory of office supplies and items in storage and re-order as necessary. Must be able to move boxes/large items to bring items to and from storage
Attend and help organize CYAP hosted events or events in which CYAP is a vendor
Lead silent auction procurement and manage event logistics including event website
Ensure the office space is tidy, organized, and presentable at all times, including shared areas such as reception area
Perform accurate data entry and maintain internal databases, spreadsheets, and contact lists to ensure records are up to date and well-organized
Organize and maintain digital and physical filing systems
Complete regular audits of database
Identify and resolve data discrepancies or errors in a timely manner
Generate reports and data summaries as requested
Upload and organize receipts and expense documentation in accounting software
Provide project management support for special projects
Maintain accurate records of board activities, including resolutions, policies, and other governance documentation
Requirements
Minimum two years related experience; nonprofit or data-entry experience a plus
Proficiency with G-Suite applications and Microsoft applications including knowledge of pivot tables and VLOOKUP
Ability to multi-task and prioritize in a dynamic work environment
Strong attention to detail and organizational skills
Ability to work as a team member with minimal supervision
Solid written and oral communication skills and excellent phone manner
Ability to organize details, set priorities, and meet deadlines
Ability to comply with all employer/department personnel policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
Ability to maintain confidentiality of department information/records according to state requirements.
Ability to maintain professional appearance and clean work environment
Possession of a valid Indiana driver’s license and demonstrated safe driving record
Must be able to lift 30lbs
Associates degree preferred
Must be able to pass extended background check
