We have an exciting role at our London Head office for aReceptionist on a 12 month fixed term contract.At Ralph Lauren reception is responsible for greeting visitors and delivering exceptional customer service assistance. This entails answering calls and fielding them accordingly, addressing visitor questions and needs, and providing an overall welcoming environment and 5 star experience to our visitors and staff.

Ordering of stationery, kitchen supplies, furniture when required from preferred supplier

Creating ID passes for the office, liaising with the landlord for lift passes

Tour of the office – Fire tour for new starters

Welcoming & being the main point of contact for staff

Ensure reception area is kept clean and free from clutter and the desk is kept tidy

Ensure mail and deliveries are received and dealt with, email in a timely matter so packages can be collected and post room is clutter free

Ensure outgoing mail is franked

Arranging DHL shipments and create airway bills, ensuring correct account is used for each department/ cost centres are used ensuring an order form is complete with approval

Arrange bookings for couriers ensuring an order form is complete with approval

Answering switchboard in a timely manner, ensuring switchboard is up to date.

Report any air con issues to the landlord via the Helpdesk system.

Report any maintenance issues relating to the landlord through the Helpdesk system.

Report any maintenance issues within our demise in a timely manner and chase up when required to our maintenance company/ or handy man

Top up fund for franking machine, order supplies

Have a good working relationship with employees

Raise purchase orders for orders placed

Support the Environment Solutions team and Finance processed by compiling invoices information, so that their treatment is made easier

Liaise with the Wholesale team for all B2B ordering Collections – ensuring all employees collect in a timely manner, and only when payment has been made

Maintain booking calendar for B2B order collections

Cover Bank of America – P cards and T&E enquires when the Facilities Manager is on annual leave.

Monitor online meeting rooms bookings and support teams finding meeting space – all locations

Support employees with finding alternative space within the office if all meeting rooms are booked

Support employees with RL booking system for desk booking in 50 NBS & …
