TheReceptionistis crucial in providing essential support to the organization. This position involves providing administrative assistance to the team while also serving as the company’s welcoming presence and communication hub for incoming customers. Primary responsibilities encompass answering telephone calls, welcoming and assisting guests, overseeing management schedules, coordinating travel arrangements, ensuring the accuracy of CRM data, and participating in special administrative initiatives as required.

COMPENSATION

This position has a competitive compensation package that is a combination of Base Hourly Pay plus Profit Sharing Paid Quarterly after 1 year of employment.

RESPONSIBILITIES

Greeting customers/visitors and creating a welcoming atmosphere.

Taking breaks and managing self-starting tasks efficiently.

Planning and coordinating events and lunches.

Managing conference rooms, ensuring they are organized and ready for use.

Starting and maintaining the coffee station for staff and visitors.

Scheduling interviews and coordinating interview logistics.

Stocking and organizing the kitchen area to ensure a well-equipped space.

Cleaning conference rooms and kitchen to maintain a tidy environment.

Managing supply orders and restocking office essentials.

Answering phones, ensuring professional and friendly call handling.

Screening and transferring calls, taking accurate messages.

Creating a phone system schedule for after-hours transfers and holidays.

Ensuring phone coverage at all times.

Ordering office supplies and assisting with shipments and mailers.

Supporting the team with special projects and tasks as needed.

Managing the schedule of the owner or senior management.

Assisting with travel scheduling for team members.

Inputting new customer information into the CRM database.

Maintaining data integrity within the CRM system.

Facilitating effective communication between customers, Inside Sales, and other departments.

Directing customer requests to the appropriate departments.

Coordinating and scheduling food trucks for staff.

Preparing for company-wide meetings, including logistical arrangements.

Providing driver training on using the Concur system for travel expenses.

Assisting other departments with audits and additional projects.

Performing ad hoc reporting and tasks as required to support various teams.
