What You’ll Do:
Manage the owner’s calendar and schedule meetings
Organize email communications and assist with follow-ups
Track open tasks and keep projects on schedule
Coordinate internal team workflows and ensure accountability
Draft and format client-facing documents and internal templates
Maintain CRM, client files, and internal systems
Assist with basic bookkeeping or task delegation as needed
Anticipate needs, think ahead, and act with discretion

Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will possess strong computer literacy and exceptional organizational skills, enabling them to manage multiple tasks efficiently. This role is essential in ensuring smooth operations within the office and facilitating effective communication between departments.
Responsibilities
Provide administrative support to executives, including calendar management, scheduling meetings, and organizing travel arrangements.
Handle data entry tasks with accuracy and attention to detail.
Maintain office organization by managing files, documents, and records.
Serve as the first point of contact for customer inquiries, demonstrating excellent customer service skills.
Operate phone systems effectively to manage incoming and outgoing communications.
Assist in office management tasks, ensuring a well-functioning work environment.
Utilize QuickBooks for basic financial tracking and reporting as needed.
Collaborate with team members on various projects to ensure deadlines are met.
Qualifications
Proven experience in an administrative role or as an Executive Assistant is preferred.
Strong data entry skills with a high level of accuracy.
Proficient in computer literacy, including Microsoft Office Suite and other relevant software applications.
Excellent organizational skills with the ability to prioritize tasks effectively.
Familiarity with QuickBooks is a plus but not required.
Strong customer service orientation with effective communication skills.
Experience with phone systems and office management practices is desirable.
Ability to work independently while being a team player.
