Facilities Administrative Assistant
8 hours per day, Monday-Friday
260 days per year
JOB SUMMARY
The job of the Facilities Administrative Assistant is to facilitate the efficient operation of the Custodial and Maintenance departments and for the purpose of initiating and coordinating secretarial functions required to effectively implement the administrative policies of the department.
Essential Functions
Perform a wide variety of assignments which are sometimes confidential in nature; operate a personal computer to enter data, draft, edit, revise, and print letters, tables, forms and reports as well as other materials
Provide courteous, efficient, positive, and welcoming atmosphere to staff, vendors and sub custodians including answering phones in a consistently positive and friendly tone, and performing a variety of other office functions.
Communicate with vendors concerning purchase orders; order and receive supplies/materials, and verify against purchase orders for both Maintenance and Custodial Departments as needed.
Manage and Reconcile Purchase Cards for the Maintenance and Custodial Department
Utilize, maintain, and accurately update a variety of data management systems used within the Departments.
Maintains inventory of supplies and materials, including labeling and tracking of tool inventory.
Input and maintain work orders, including Preventive Maintenance scheduling within the Maintenance work order system.
Input vehicle/equipment repair work orders
Organize and update Safety Data Sheets and ensure compliance with the Globally Harmonized System of classification and labeling of chemicals.
Manage Absence Management System for all maintenance staff, custodians, and sub-custodians, which includes entering information, verifying leaves, time worked for vacancies filled by sub-custodians for payroll, and monitoring absences
Maintain the database of all custodians and sub-custodians showing day-to-day location, leave hours and substitutes, and review timecards monthly for processing
Fulfill district-wide facility use requests by assigning custodial staff
Prepare Personnel Action Forms on new hires, assignment changes, long-term substitutes, terminations, and resignations
Arrange all trainings and workshops for custodians and sub-custodians
Update and maintain the run sheets, supply and equipment catalogs and training manual
Update and maintain lists of employees and substitutes for the custodial department, including training rosters, phone lists, etc.
Distribute keys/fobs and fill key contracts as needed
Manage spring, summer and winter break schedules
Be available to make and receive phone calls after hours for the custodial department
Work as a team member, relating positively with staff and the community at large.
Respond to multiple questions and requests from staff and administration in a positive, professional and timely manner.
Maintain a highly organized and efficient file system.
Prepare and compose reports and correspondence independently.
Follow policies and procedures as established by the supervisor and the district.
Arrange, participate in, and implement, as directed, trainings, conferences, interviews, and committee meetings.
Maintain a strict level of confidentiality.
Perform related duties as assigned
MINIMUM QUALIFICATIONS
Education/Training
AA Degree or equivalent education and/or work
Knowledge, Skills, and Abilities
Considerable knowledge of and ability to use Mac’s, PC’s and related software including Microsoft office and google suite.
Demonstrated ability to independently respond to problematic situations and to remain calm under
Ability to maintain accurate records and enter and maintain data in automated
Ability to identify problems and to propose feasible
Ability to conduct basic office training for
Ability to multi-task and work

Work Environment
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
This is an office job. The employee is confined to a work area; required to have precise control of fingers and hand movements; experiences constant interruptions and inflexible deadlines; must be able to work at a computer monitor for prolonged periods; and must be able to crouch, crawl, bend, kneel, and lift/move objects such as files, boxes, etc up to 50 lbs., if necessary. The employee is required to deal with distraught and/or angry persons and may be exposed to infectious diseases carried by children. The noise level in the work environment is acceptable to this particular environment and can vary depending upon daily activity but will remain within acceptable ranges.
TERMS OF EMPLOYMENT and Salary:
As outlined by and in accordance with the collective bargaining agreement (CBA) of the Mead Support and Service Professionals (PSE) and Policies and Procedures of Mead School District. A typical work year consists of 260 days which includes 13 paid holidays.
The salary range for the position is: Min $21.00– Max $29.32. Salary placement will be at step 1 on the appropriate scale for the position unless otherwise noted within the contract. Each employee shall accumulate twelve (12) days of sick leave per year. An employee employed less than a full work year shall be entitled to a proportionate part of the sick leave allowance. A maximum of three (3) days of annual leave are provided for all employees based on the employee’s scheduled employment hours per day to be used for an absence during work hours, or to be accumulated for the purpose of cash out. Newly hired year-round employees will accrue vacation at a rate of twelve (12) days per year/1 day per month.
Employees anticipated to work more than 630 hours per year will be eligible for Benefits through the School Employees Benefits Board (SEBB) Standard benefits include Medical, Dental, Vision, Life Insurance, and Long-Term Disability. Positions anticipated to work 70 hours or more per month for at least 5 months over a 12-month period are eligible for Retirement through the State Department of Retirement Services
