The Receptionist plays a significant role in creating the first impression of the company through in-person and phone interactions with individuals such as prospective clients, employees, guests, and vendors. We seek a passionate and driven professional to act as an ambassador and liaison between our client, employees, and visitors. The ideal candidate cares deeply about the quality of interactions and the experience during initial contacts at our site.

Job Description

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Ensure a smooth and seamless experience for employees and guests by communicating warmly, clearly, and effectively with all visitors and internal staff to meet their needs.

Perform general office duties, including sorting and delivering mail, outgoing shipping, and assisting with logistics needs.

Answer phone calls promptly and professionally, including main line, internal calls, and help desk inquiries.

Provide professional, courteous, and accurate service to employees and customers.

Maintain a neat appearance and professional attire at all times.

Learn quickly and follow detailed instructions.

Answer questions and solve problems independently using available resources.

Greet customers with a smile and keep the work area tidy.

Welcome visitors and follow all visitor and security procedures.

Support multiple service areas proficiently while maintaining expertise.

Relieve team members for breaks and lunches as needed.

Understand and follow tasks for all assigned areas.

Provide travel assistance, such as calling cabs and communicating arrivals.

Adhere to all safety and security protocols.

Perform daily responsibilities proactively, including opening/closing tasks, stocking supplies, and meeting deadlines.

Complete reports accurately and promptly.

Assist with special projects as requested.

IMPORTANT

EDUCATION

High School diploma or GED required.

College degree and/or related experience preferred.

IMPORTANT EXPERIENCE

Minimum of 2 years of office administration or reception experience or equivalent education and experience.

ADDITIONAL ELIGIBILITY QUALIFICATIONS

Ability to interact professionally with clients, management, staff, and vendors at all times.

Follow directions and policies.

Exhibit professionalism, motivation, and initiative.

Strong attention to detail and communication skills.

Familiarity with basic bookkeeping procedures.

Good analytical skills and ability to provide accurate service.

Ability to prioritize, multi-task, and work as part of a team.

Proficiency in Outlook, Word, and Excel required.

Ability to lift 40 pounds repetitively and perform physical tasks such as reaching, bending, standing, and sitting for extended periods.
