POSITION PURPOSE:  Assist in ensuring the integrity of the Enid Police Department by providing accurate, precise, and orderly clerical support.

ESSENTIAL FUNCTIONS AND BASIC DUTIES:

Input data such as tickets, arrest reports, incident reports, accident reports, warrants, follow-up sheets, field interview reports, and dog tag permits.

Copy, scan, and fax reports.

Greet patrons, answer phones, answer questions, and direct to services.

Copy reports for patrons as requested, stamp, and write receipts.  Obtain and count money rendered for services.

File or review arrest reports, second sheets, impound tickets and releases, pawn tickets, field interview contacts, call for service (CFS) cards, insurance verifications, improper equipment verifications, and incident/accident reports.  Keep records of materials filed, reviewed, or removed, using logbooks or computers.

Scan or read incoming materials in order to determine how and where they should be classified or filed.

Sort or classify information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical, or numerical order.

Maintain confidentiality of records, including but not limited to private health information.

Track, order, and stock the supply locker for all divisions of the Enid Police Department.

Obtain paperwork, process address changes, fax information, and fingerprint registering sex offenders.

Assign and record or stamp identification numbers or codes in order to index materials for filing.

Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information.

Manually count Uniform Crime Reporting (UCR) statistics and document paperwork.

Gather materials to be filed from departments and employees.

Track materials removed from files in order to ensure that borrowed files are returned.

Find and retrieve information from files in response to requests from authorized users.

Perform general office duties such as typing, operating office machines, and sorting mail.

Remove material from file records for subpoena requests and copy and fax requested paperwork.

Pick up and deliver mail, warrants, bond paperwork, tickets, etc. on a daily basis.

Provide assistance to other departments as needed.

Perform other duties as required.
