Job Title: Remote Executive & Operations Assistant (100% Work From Home)
Location: Remote from Latin America
Position Type: Full-time
Salary:$1,500 – 1,750 USD/month
Schedule: Monday to Friday, 40hrs/week (ideally Eastern Time but flexible to other time zones)
Job Overview:
Our client is a multiple business owner that is requiring a great Executive & Operations Assistant to both help them run their businesses as well as keep everything organized in their personal life. The ideal candidate for this role is a highly organized, detail-oriented, and proactive individual with a strong commitment to confidentiality. As a trusted partner, you will support the executive in managing their personal and professional life, ensuring efficiency and productivity. With a focus on technology and communication, you will play a vital role in driving success and achieving goals.
Responsibilities:
Personal and Business Administration:
Scheduling: Coordinate calendar events, schedule appointments (doctors, travel, etc.), and manage team member schedules.
Payments: Pay nannies via Venmo, process online returns, and handle various invoices.
Finance: File quarterly tax payments, prepare personal budgets, and reconcile bank accounts.
Legal and Administrative: Organize legal, insurance, or administrative materials for businesses.
Technology: Set up Notion for personal and business use, manage website updates, and order office supplies.
Task Management and Productivity:
Inbox Management: Triage and manage emails effectively.
Task Prioritization: Identify and prioritize tasks, creating SOPs and playbooks in Notion.
Efficiency: Streamline processes, reduce manual work, and optimize efficiency.
Data Management: Organize and manage contact lists, update KPI dashboards, and create home maintenance setups.
Customer and Team Support:
Customer Service: Respond to Google Reviews and send appreciation emails to employees.
Team Support: Assist with screening resumes, managing licenses and certifications, and facilitating team collaboration.
Personal and Business Support:
Shopping: Order gifts, groceries, and other items online.
Planning: Help plan events, parties, and social media posts.
Travel: Assist with travel arrangements and bookings.
Gift Selection: Find and purchase gifts for various occasions.
Qualifications, Skills and Key Competencies:
Minimum of 3 years of experience working as an executive assistant, operations assistant or similar role within US businesses
Great communication skills
Great organization skills and time management
