This is a high-trust role for a resourceful individual who thrives on variety, handles sensitive information with discretion, and excels at following instructions with precision and accuracy. You’ll be expected to take initiative, complete tasks efficiently, and report back with clear, organized updates.

As a non-employee 1099 contractor, we do not control your time. You are free to determine when and how you complete assigned tasks on your schedule. However, we do require all contractors to be available for scheduled weekly debrief and coordination meetings, as well as for phone calls and collaboration with other team members during standard U.S. business hours.

We recognize that you may have — or may take on — other clients and projects. That is fully acceptable; however, this is a performance-based opportunity, and we expect you to meet or exceed all deadlines, while maintaining Atlas Training as a client priority.

If selected, you will be required to sign three documents before beginning work: a Non-Disclosure Agreement, a Client Confidentiality Agreement, and a Contracted Services Agreement.

You will serve as a contracted direct extension of the President of Atlas Training — creating and executing contracts once the context is provided to you, assisting with project coordination, monitoring and reporting back sales team compliance, organizing and filing legal paperwork once you have been briefed, and taking on delegated tasks so the President can focus on growth, sales strategy, and software development. These are only some of the tasks and roles you would assist with.

Responsibilities:

Provide executive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Proofread documents for accuracy and clarity before distribution.
Draft and complete contracts and legal documents as briefed and directed
Coordinate filings and paperwork with various state and regulatory agencies
Follow up with internal team members to ensure task completion, ownership and accountability
Assist in managing internal projects using Odoo ERP systems (or similar ERP’s and CRM’s)
Track project deliverables and report weekly progress to the President
Set up and coordinate outbound sales meetings with target companies
Research decision-makers and help navigate gatekeepers to secure executive meetings
Attend internal meetings, take minutes, and distribute action items
Monitor sales representatives to ensure contractual compliance and performance targets
Gather and summarize weekly reports from sales staff and other departments
Support project management and workload coordination for the software development division
Assist with legal and documentation efforts to prepare the company for expansion
Conduct market research and brief the President on findings and opportunities
Provide light graphic design support using tools like Canva, Adobe Illustrator, or Photoshop
Help create or update brochures, website content, PDFs, and other sales collateral

What We’re Looking For:

Proven experience as an Executive Assistant, Administrative Coordinator, or Business Support Specialist
Excellent written and verbal communication skills
Working knowledge of Microsoft Excel, Word, and other business software plaforms
Strong attention to detail and high organizational ability
Comfortable following clear direction and working autonomously on complex tasks
Familiarity with contracts, legal documents, and compliance tracking
Able to interface professionally with internal staff, vendors, and external executives
Some graphic design experience (Canva, Adobe Suite, or similar tools)
Strong research skills and experience summarizing findings in clear briefs
Reliable high speed internet connection, a computer, and availability for real-time communication with Google Meeting online meetings as needed
Familiarity with Odoo or other project management/CRM platforms is a plus
