JOB SUMMARY
The Administrative Office Coordinator performs a wide variety of administrative and technical duties to relieve the City Manager and Assistant City Manager of technical as well as general administrative duties. Performs a range of general accounting and recordkeeping duties, prepares a variety of fiscal, administrative, and operational reports; and serves as a liaison with other City departments and staff, outside agencies, and the general public.
ESSENTIAL JOB FUNCTIONS
· Acts as primary contact and liaison for the City Manager and Assistant City Manager for assigned functions and projects involving internal and external stakeholders, elected officials, outside agencies and public.
· Serves as primary contact and liaison for assigned functions and projects with City Department Heads.
· Conducts administrative and operational analysis, studies, and research including those involving City-wide issues and programs and conducts related special projects, as assigned, using decision-making, critical thinking, and analytical skills.
· Handle phone inquiries, screens calls, visitors, and mail; provides information and assistance including responding to sensitive requests for information and assistance; research information related to City regulations, procedures, codes, and ordinances.
· Coordinates calendar activities, meetings, events and make travel arrangements (authorization, registration, lodging, etc.).
· Coordinates the Procurement Card for City Manager and Assistant City Manager; reviews statements for accuracy of charges, monitors compliance with policies and procedures, assigns proper budget line-item codes and distributes to Accounts Payable for processing.
· Develops and maintains complex filing systems, records and logs for current and accurate information including highly sensitive and confidential information.
· Processes purchasing of supplies and equipment for assigned supervisors as well as City Hall. Ensures adherence to purchasing guidelines; recommends purchasing alternatives as applicable. Ensures requires supplies are available as needed and equipment is in proper working order. Coordinate R&M on shared equipment
· Maintains leases of any leased equipment in City Hall, including copiers and postage machine.
· Researches, responds and prepares correspondence, participates in the preparation of reports that present and interpret data, identify alternatives, make and justify recommendations; creates spreadsheets; independently composes correspondence.
· Works with several applications, software and databases to perform tasks associates with ongoing City projects, recordkeeping, accounting and project management.
· Operates a variety of electronic devices, office equipment, computer and peripherals.
· Process invoices for management and Finance Department as applicable.
· Assists with timecards and tracking sick and annual leave usage for City Manager and Assistant City Manager.
· Processes daily receipts in financial software and processes and reconciles daily deposits from all City Departments.
· Reconciles daily cash drawer and investigates variances.
· Receives various forms and paperwork and distributes to applicable departments.
· Answer, screen and forward telephone calls; record and relay messages accurately.
· Provides answers to inquiries and resolves customer concerns and complaints.
· Performs other related duties as assigned.
QUALIFICATIONS
Education and Experience:
Requires an Associate’s degree from an accredited college or university with major course work in business or public administration, political science, communications, or a related field and four (4) years of high level administrative/executive support experience, or equivalent combination of education and experience.
Licenses or Certifications:
Must be a Georgia notary or obtain within six (6) months of hire date. Possession of or ability to readily obtain a valid driver’s license issued by the State of Georgia within thirty (30) days of hire.
Special Requirements:
Ability to attend occasional meetings outside the regular work (nights and weekends) schedule as needed.

Pay: $24.10 per hour
