Purpose Statement
The job of School Improvement Assistant (District Office) is done for the purpose/s of providing a wide variety of complex and legally compliant administrative and secretarial support to assigned administrators; conveying information regarding department functions and procedures; ensuring efficient operation of support functions; and coordinating assigned projects and site activities.
Essential Duties and Responsibilities
* Compiles data from a wide variety of sources (e.g. calendars, expenditures/budget, Educational Focus section of the Board agenda, curriculum projects, professional development calendars and evidence of completion, etc.) for the purpose of preparing reports, making recommendations; and/or preparing information for assigned administrators.
* Coordinates a wide variety of projects, functions and/or program components (e.g. professional development registration, meetings, posting of financial information, tuition reimbursements, program audits, records disposal, etc.) for the purpose of completing activities and/or delivering services in a timely fashion.
* Maintains a wide variety of manual and electronic document files (e.g. faculty curriculum projects, audit reports, website pages, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
* Monitors a wide variety of activities (e.g. appointments, program components, meeting arrangements, account balances, etc.) for the purpose of achieving goals and meeting target dates on behalf of assigned administrators.
* Coordinates the data and reporting processes for assigned federal and state grants.
* Coordinates the expenditures. expenditure reporting, audits and monitoring visits for assigned federal and state grants.
* Prepares reports and other items for the Board of Education Meeting and Board of Education Committee items on behalf of assigned administrators.
* Assists in the coordination of legal processes including state or federal monitoring visits, hearings, complaints, lawsuits, etc.
* Coordinates district-wide substitute requests and needs with staff, administrators, and substitute personnel and to support same day and prearranged teacher absences.
* Prepares a wide variety of reports, documents and correspondence of a non-confidential nature (e.g. updated handbooks, provide or secure translations of parent documents, state reports, Board Committee meeting agendas, invitations, minutes, 88’s Best letters and certificates, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
* Presents information on administrative procedures (e.g. department/program policies, submission procedures, ESSA reporting, etc.) for the purpose of disseminating information to existing personnel.
* Processes a wide variety of documents and materials (e.g. FOIA (Freedom of Information) requests, tuition reimbursement pre-approvals and payments, requisitions, travel reimbursements, budget transfers, etc.) for the purpose of disseminating information in compliance with administrative guidelines and/or regulatory requirements.
* Reconciles account balances for local, state, and federal grant assigned budget categories for the purpose of maintaining accurate account balances.
* Responds to a wide variety of inquiries from internal and external parties (e.g. staff, parents, students, public agencies, vendors, governmental agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
* Schedules a wide variety of activities (e.g. appointments, meetings, travel reservations/accommodations, facility usage, new employee orientations, professional development events, etc.) for the purpose of making necessary arrangements for the assigned administrator.
* Supports assigned administrative personnel for the purpose of providing assistance with their functions and responsibilities and anticipating their needs.
Other Functions
* Participates in a variety of meetings, workshops, and/or trainings for the purpose of providing or receiving information, recording minutes, and supporting the needs of the attendees.
* Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
* Procures supplies and materials for the purpose of maintaining availability of required items.
* Researches a variety of topics for the purpose of providing information and/or recommendations that address a variety of administrative requirements.
